About The Position

The Senior Administrative Coordinator supports the Sales team with a particular focus on client billing for local and key clients, customer onboarding, revenue contract management, collections support, and resolving client inquiries. This role is responsible for managing revenue contracts in R2, coordinating billing activities, maintaining accurate financial records, and supporting sales, contracts, and event profitability teams.

Requirements

  • 3+ years of accounting or finance experience.
  • 3+ years of customer service experience.
  • Experience working with accounting software; Microsoft Dynamics 365 experience is a plus.
  • Advanced proficiency in Microsoft Excel.
  • Exceptional attention to detail.
  • Excellent organizational and time management skills.
  • Ability to work independently and manage multiple priorities.
  • Strong judgment and ability to maintain confidentiality.
  • Excellent written and verbal communication skills.

Responsibilities

  • Manage onboarding of new customers, including customer creation and credit applications.
  • Manage events under the Bid Committee threshold, including: Collection of terms and conditions, Preparation and collection of certificates of insurance (COIs), Creation of billing schedules and billing plans, Tracking deposits and advances and ensuring receipt prior to event preparation and delivery.
  • R2 billing and revenue contract creation.
  • Revenue reconciliation and collection support.
  • Provide specialized support for key client billing and collections handled outside of the corporate Accounts Receivable department.
  • Support Sales Coordination, Contracts Administration, and Event Profitability teams as needed.
  • Train and supervise new employees.
  • Maintain and update standard operating procedures (SOPs) in SharePoint.
  • Maintain files and documentation within SharePoint Customer Billing group folders.
  • Review and correct sales tax calculations during the billing process.
  • Issue credit memos as required.
  • Produce weekly un-invoiced events/contracts reports and resolve outstanding billing or contract issues.
  • Assist with customer communications and resolve client questions or concerns related to billing and contracts.
