About The Position

Reporting to senior leadership, the Senior Administrative Coordinator, Student Affairs AVP Operations provides strategic leadership and oversight for daily operations within the Student Affairs Associate Vice Presidents (AVP) suite. This role exercises independent judgment and decision‑making on matters of significance, including policy interpretation, compliance, and program standards; designs and improves processes that affect multiple departments; and supervises student staff in front desk operations. Serving as a primary resource for both internal and external stakeholders, this leadership role oversees complex administrative operations (e.g., student employment workflows) to ensure seamless support for the AVPs and affiliated services such as Student Employment Services. The Senior Administrative Coordinator acts as a key liaison between the AVP suite and university departments, proactively maintaining the highest standards of professionalism, confidentiality, and responsiveness in all communications. The incumbent is expected to demonstrate advanced expertise in office management, strategic problem solving, and prioritization of competing demands, while independently driving operational excellence and process improvement initiatives.

Requirements

  • Typically a Bachelor’s degree (preferably in Business, Human Resources, or Information Systems) or equivalent experience. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes.; commitment to ongoing professional development to remain current with evolving regulations and policies.
  • Minimum of 4 years of progressive administrative experience, including direct responsibility for strategic problem solving, operations management, and support coordination; prior HRIS experience (Workday preferred) highly desirable.
  • Proven track record of delivering superior customer service, resolving complex issues, and consistently meeting critical deadlines in a dynamic environment.
  • Demonstrated ability to assess and address diverse user needs with sound judgment and discretion.
  • Capacity for independent work with meticulous attention to detail.
  • Outstanding written and verbal communication skills.
  • Advanced organizational, analytical, and technical competencies.
  • Comprehensive understanding of impact of configuration and business process changes across departments.
  • Proficiency in Microsoft Office and working knowledge of HR/Finance systems such as Workday.

Responsibilities

  • Direct the logistical coordination and execution of high-level meetings, retreats, and institutional functions; coordinate complex calendars and communications with internal and external stakeholders; arrange travel and prepare itineraries; and provide comprehensive administrative leadership to advance the AVPs' strategic priorities.
  • Provide strategic direction and oversight for general budgetary functions within delegated authority, ensuring alignment with the AVPs’ priorities and institutional objectives; proactively recommend resource allocations to optimize operational efficiency and support long-term goals.
  • Interpret and apply relevant policies (e.g., student employment standards, privacy/records); contribute to the development and revision of existing policies; remain abreast of emerging policies which may impact office operations and develop guidance for AVPs accordingly.
  • Define data standards and reporting cadence; create and maintain spreadsheets and digital filing systems; build dashboards and quarterly reports for AVPs and other leadership partners; analyze trends to inform decisions and policy updates.
  • Exercise independent judgment and proactively offer recommendations to ensure alignment with institutional priorities and drive operational excellence across the AVP suite.
  • Represent AVPs on committees and working groups; lead projects that advance quality, equity, and operational effectiveness in the AVPs’ functional areas.
  • Develop, implement, and continuously enhance comprehensive protocols for visitor engagement and customer inquiry management, ensuring alignment with institutional priorities and regulatory requirements; exercise strategic oversight of office supply inventory, work order coordination, and procurement activities—including purchasing, invoice processing, and expense reconciliation—utilizing Workday and other enterprise systems; exercise autonomous judgment in resolving exceptions, managing escalations, and addressing high-impact operational matters,
  • Manage operating budget components within delegated authority; exercise advanced judgment in reviewing, approving, and reconciling program expenditures.
  • Hire, onboard, supervise, and evaluate student employees assigned to work the front desk to ensure high‑quality, student‑centered service within the AVP suite.
  • Partner with SES staff to resolve complex issues related to student employment processes within Workday; recommend configuration or process changes; approve exceptions to ensure accuracy, timeliness, and compliance.
  • Provide high-level administrative leadership to drive the development and implementation of strategic student employment initiatives, ensuring alignment with institutional goals and continuous improvement across the SES portfolio; collaborate with SES program leadership to offer ancillary administrative support for signature SES events, such as Student Employment Week and recognition ceremonies.
