About The Position

DCI Engineers is seeking a Senior Administrative Assistant for their Missoula, MT office. This role is crucial for maintaining the smooth operation of the office, supporting project teams, and ensuring consistent operations and collaboration across multiple locations, including Helena, Kalispell, and Hamilton satellite offices. The position involves a wide range of administrative tasks, from front office reception and vendor coordination to project administration, finance support, onboarding, and event planning.

Requirements

  • Excellent writing, editing, and communication skills.
  • Ability to anticipate office needs, resolve problems, and prioritize independently.
  • Adaptable to new software; proficient in Microsoft Excel, Word, and internet applications.
  • Detail-oriented with the ability to multi-task in a fast-paced environment.
  • Ability to handle sensitive and confidential information.

Nice To Haves

  • Construction industry experience or knowledge is a plus, but not required.

Responsibilities

  • Perform front office reception duties, maintain office contact information, and open and close the office.
  • Order and manage office and breakroom supplies, maintain common areas, coordinate with office vendors, and oversee mail and deliveries.
  • Coordinate onboarding and offboarding logistics with People & Culture and IT Support.
  • Ensure office compliance and safety, including serving as the office safety coordinator.
  • Submit invoices, reconcile credit card statements, process expense reports, and assist with accounts receivable tracking and collections.
  • Set up and maintain project information in Vantagepoint, process contracts, organize project files, and support Construction Administration and quality control tracking.
  • Maintain office calendars, coordinate travel and meeting logistics, register staff for industry events, and assist with professional license applications and renewals.
  • Plan and support internal, community-building, learning, volunteer, and client-facing events.
  • Partner with the office Managing Principal and Regional Administrative Manager on local and regional priorities.
  • Perform other duties as assigned.
