About The Position

Join DCI Engineers in our Missoula, MT office as a Senior Administrative Assistant and play a key role in keeping our office, project teams, and day-to-day operations running smoothly. While this in-office position is based in Missoula, it also provides administrative support to our Helena, Kalispell, and Hamilton satellite office(s), helping ensure consistent operations and collaboration across our locations. From welcoming visitors and coordinating vendors to supporting project administration, finance, onboarding, and office events, you'll contribute to a collaborative and dynamic team.

Requirements

  • Excellent writing, editing, and communication skills
  • Ability to anticipate office needs, resolve problems, and prioritize independently
  • Adaptable to new software; proficient in Microsoft Excel, Word, and internet applications
  • Detail-oriented with the ability to multi-task in a fast-paced environment
  • Ability to handle sensitive and confidential information

Nice To Haves

  • Construction industry experience or knowledge is a plus, but not required

Responsibilities

  • Perform front office reception duties, maintain office contact information, and open and close the office
  • Order and manage office and breakroom supplies, maintain common areas, coordinate with office vendors, and oversee mail and deliveries
  • Coordinate onboarding and offboarding logistics with People & Culture and IT
  • Support office compliance and safety, including serving as the office safety coordinator
  • Submit invoices, reconcile credit card statements, process expense reports, and assist with accounts receivable tracking and collections
  • Set up and maintain project information in Vantagepoint, process contracts, organize project files, and support Construction Administration and quality control tracking
  • Maintain office calendars, coordinate travel and meeting logistics, register staff for industry events, and assist with professional license applications and renewals
  • Plan and support internal, community-building, learning, volunteer, and client-facing events
  • Partner with the office Managing Principal and Regional Administrative Manager on local and regional priorities, and perform other duties as assigned
