About The Position

The Senior Administrative Assistant serves as a strategic partner to a senior leader, enabling focus, clarity, and decision velocity in a complex and fast-moving environment. This role is designed to proactively protect and optimize the leader’s time and elevate communication quality. The Senior Administrative Assistant supports productivity and focus by managing logistics, coordinating information flow, and reinforcing established operating routines with reliability and professionalism.

Requirements

  • High school diploma or GED required; additional education or certifications preferred.
  • 5 or more years of experience supporting senior leaders or executives in complex, fast-paced, or global environments.
  • Demonstrated ability to operate as a strategic thought partner, not solely an administrative support resource.
  • Proven experience managing competing priorities, complex calendars, and high-stakes communications with minimal direction.
  • Strong track record of building systems, workflows, and operating rhythms that support execution and follow-through.
  • Advanced proficiency in Microsoft Office tools, including Outlook, Word, Excel, and PowerPoint, with the ability to produce polished, executive-ready materials.
  • Exceptional organizational skills with a strong ability to prioritize and manage ambiguity.
  • Clear, concise, and confident written and verbal communication skills.
  • High level of judgment, discretion, and emotional intelligence when engaging with senior leaders and diverse stakeholders.
  • Proactive, solutions-oriented mindset with the ability to anticipate challenges and course-correct quickly.
  • Ability to synthesize information and present options that support effective decision-making.
  • Collaborative and influential partner who builds trust and credibility across functions.

Responsibilities

  • Act as a trusted partner to a senior leader by anticipating needs, protecting priorities, and enabling efficient decision-making through thoughtful planning and preparation.
  • Own complex calendar management with a focus on intentional prioritization, signal over noise, and proactive resolution of conflicts to maximize leadership effectiveness.
  • Support the preparation and organization of key communications, presentations, and materials, ensuring content is clear, accurate, and aligned with established messaging and expectations.
  • Filter, triage, and synthesize information and requests, bringing forward options, recommendations, and clear next steps rather than raw inputs.
  • Design and maintain the leader’s operating cadence, including meeting rhythms, workflows, and cross-functional follow-through to ensure commitments translate into outcomes.
  • Coordinate meetings and initiatives by shaping agendas, preparing materials, capturing decisions and actions, and driving accountability through structured follow-up.
  • Partner closely with cross-functional stakeholders to facilitate progress, remove friction, and ensure alignment across teams.
  • Manage domestic and international travel and related logistics with an emphasis on efficiency, preparedness, and seamless execution.
  • Handle highly confidential information with sound judgment, discretion, and professionalism.
  • Continuously assess processes and ways of working, identifying opportunities to improve efficiency, clarity, and impact.
