Learn more at https://www.jnj.com/innovative-medicine The Senior Administrative Assistant provides complex executive, operational, and team support to the Vice President, Commercial and Vice President, Market Access in Immunology enabling effective execution across a high-priority, highly matrixed business. The role requires sound judgment, discretion, independent assessment, and resourceful resolution of complex situations while supporting leaders and teams that collaborate with numerous internal cross-functional stakeholders across time zones.

Requirements

  • High School diploma or equivalent is required
  • Minimum of 6 years’ administrative support experience required
  • Highly organized, with strong attention to detail and accuracy and the ability to establish, manage, and revise priorities while handling multiple time-sensitive responsibilities is required
  • Ability to take initiative, work independently with minimal supervision, adapt to shifting priorities, and respond resourcefully to unforeseen circumstances and complex problems in a fast-paced environment
  • Advanced computer skills including extensive knowledge of Office applications and organization specific software (i.e. Concur Expense System, WorkDay, Outlook, MS Teams and Copilot)
  • Demonstrated ability to maintain confidentiality, apply discretion, and handle sensitive business, personnel, financial, alliance-related, and leadership information professionally
  • Strong interpersonal, verbal, written, and multitasking communication skills, with the professionalism to communicate on behalf of senior leaders and collaborate effectively with supported teams and the broader administrative community
  • Influences or persuades others within area of immediate responsibility to support efficient ways of working, align schedules and deliverables, and adopt practical administrative processes
  • Interacts regularly with internal and external colleagues, including senior leaders, cross-functional partners, alliance-facing contacts, and administrative peers, requiring professionalism, confidentiality, and strong coordination across departments

Responsibilities

  • Provide day-to-day executive and team support to the Vice President, Commercial and the Vice President, Market Access, including management and prioritization of complex, frequently changing calendars; high-volume meeting requests; domestic and international travel; expense reports; meetings and events; vendors; and logistics across Global Commercial Strategy (GCSO) Immunology and cross-functional partner teams
  • Manage and organize files, records, communications, onboarding materials, organizational charts, SharePoint content, and departmental documents, including confidential and sensitive information related to leadership priorities, commercial strategy, financial administration, and organizational matters
  • Independently organize large internal department meetings and leadership forums, onsite or offsite; prepare and edit agendas, reports, presentations, meeting materials, and minutes; and coordinate inputs across stakeholders
  • Perform diverse administrative and project-focused duties requiring independent judgment, prioritization, and clear written and verbal communication on behalf of the Vice President, Commercial and the Vice President, Market Access, and broader teams
  • Maintain databases, general and department or division specific applications
  • Manage and follow up on the financial administration of the department including preparing expense reimbursements, monitoring contract administration and initiate/follow up on purchase orders.
  • Act as a trusted point of contact for leadership, cross-functional departments, external contacts, vendors; ensuring timely follow-through, appropriate information handling, and clear communication
  • Participate in administrative, departmental, cross-functional, and campus-wide projects, workgroups, or committees that optimize processes and team operations
  • Stay informed of company policies, procedures, guidelines, administrative systems, and business processes relevant to the department; provide guidance and timely reminders to staff; and pursue tools or professional development that strengthen executive support, team effectiveness, and operating discipline
