About The Position

Ulteig is seeking an outstanding, engaging, highly organized Senior Administrative Assistant I to work in our Fargo, ND office. The Senior Administrative Assistant will perform a wide range of administrative and office support activities for office locations, senior-level leadership, and the company.

Requirements

  • A high school diploma or equivalent (GED) is required; a two-year technical degree is preferred.
  • A minimum of five years of administrative experience is preferred.
  • Proven proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook, as well as other relevant technologies.
  • Proven history of successfully supporting senior-level leadership with calendar management, travel coordination, expense management, event planning, and meeting coordination.
  • Excellent verbal and written communication, time management, analytical, interpersonal, and organizational skills.
  • Strong attention to detail, accuracy, follow-through, and the ability to manage multiple projects while meeting deadlines.
  • Ability to work both independently and collaboratively with individuals at all levels of the organization in a team environment.
  • Proactive, resourceful, self-motivated, and forward-thinking, with the ability to identify opportunities and propose solutions that improve team, department, and company performance.
  • Ability to mentor and coach others.
  • Ability to work effectively in a dynamic, fast-paced environment.
  • Ability to maintain confidentiality.

Responsibilities

  • Provide significant administrative support to specific office locations and senior-level leadership, including, but not limited to, managing calendars, coordinating travel, processing expenses, supporting event and meeting management, and assisting with special projects.
  • Assist with and support operational process and procedure improvements.
  • Assist with and support employee development and new hire training.
  • Perform general clerical duties, including photocopying, scanning, emailing, reporting, binding, and mailing projects, as needed.
  • Retrieve, assign, and complete requests for information and administrative support submitted through the help desk ticketing system and in person.
  • Provide excellent customer service to both internal and external clients.
  • Assist in the preparation of meetings and town halls.
  • Create life-event acknowledgements, including cards, flowers, gifts, memorials, and related communications.
  • Act as a backup for other administrative and office support staff.
  • Complete errands and perform all other duties as assigned.
  • Follow all company policies and procedures.
