About The Position

The Administrative Assistant will report to and provide administrative support for the WTCC Amentum Plant Manager and Plant Management department. Under general supervision and acting on own initiative, performs diverse and advanced clerical and administrative duties for Plant Management Department and senior-level management. Provides Amentum systems/process support for Amentum project leadership and back up support for Amentum Executive Admin supporting the Deputy General Manager and Mission Readiness Manager. Assignments will involve work of a confidential nature and require a basic knowledge of best practices and develop knowledge of policies, practices, and procedures of the company, group, project and department. This position shall be performed under the day-to-day direction, control, and supervision of WTCC

Requirements

  • High School Diploma or equivalent and advanced administrative/secretarial training and experience
  • Minimum 8 years of prior related administrative experience.
  • Requires Subject Matter Expert (SME)-level knowledge of commonly used Microsoft applications such as Word, Excel, and PowerPoint.
  • Must be authorized to work and remain in the United States without Amentum visa sponsorship now or in the future.
  • Must be able to complete and pass a pre-employment drug screen and background check which includes verification of employment and education.
  • Must be able to obtain a Department of Energy badge for access to the Hanford Site. (Even if teleworking, must still be able to comply with security requirements to obtain a badge.)

Nice To Haves

  • Experience with Workday and Power BI is preferred.

Responsibilities

  • Establish and maintain good working relations with both internal and external contacts.
  • Maintain confidentiality of sensitive information.
  • Operate or use equipment such as computers and software, copiers, telephones, and other related office equipment.
  • Compile and arrange a variety of interoffice memoranda, letters, reports, presentations and other classified or unclassified information.
  • Receive, document, post and record classified or unclassified information.
  • Track deliverables established by manager.
  • Read and abstract, for letters, reports, meeting agendas as needed, and other correspondence, relevant information for manager’s use.
  • Maintain file of important matters for senior managers' attention.
  • Independently schedule and reschedule appointments based on senior manager's commitments and priorities.
  • Coordinate complex travel arrangements and travel itineraries. Prepare detailed expense reports using Concur or other expense report software, as appropriate.
  • Prepare and proofread standard forms, correspondence, reports, etc. Assemble, copy, and distribute documentation packages.
  • Draft proposed response or suggest a course of action.
  • Develop and produce a variety of presentations.
  • Keep abreast of key issues, commitments, and priorities of manager(s). Research information and compile summary reports. Extract data from reference material, either semi-technical or non-technical in scope. Compile, analyze, and prepare or help prepare information for presentations, studies, or reports.
  • Coordinate meetings, arrange for facilities, equipment, and refreshments. Organize material for meetings, presentations, and training sessions. Prepare, collect, review, and distribute meeting agendas, information packets, and minutes. May operate a variety of audiovisual equipment in the presentation of programs and conferences.
  • Support the Waste Treatment Plant Nuclear Safety Quality Culture by emphasizing the values of safety and quality in the performance of work to protect self, others, and the environment.
  • Other tasks may be assigned, based on business needs and the department supervisor’s request.
