About The Position

New Alternatives for Children, Inc. (NAC) is an award-winning not-for-profit agency dedicated to serving children and families with medical complexities, chronic illnesses, and disabilities throughout the five boroughs. To assist in achieving this mission, NAC is currently seeking a Senior Administrative Assistant to join its Executive Office Department. The Administrative Assistant will support the Executive Director and Development Department at New Alternatives for Children. This is a fantastic opportunity to join a leading children's health and social service not-for-profit where you will gain formative insight into the work, communication, and fundraising efforts of the agency. This position is central in being responsible for coordinating all communication out of the Executive and Development Offices and acting as a liaison between NAC's program departments, outside vendors, funders, and the NAC Board of Directors.

Requirements

  • Minimum of two years of administrative support experience and/or not-for-profit administration
  • Bachelor's degree required
  • Strong written and oral communication skills
  • Strong organizational and project management skills
  • Attention to detail
  • Proficient in Microsoft Office Suite

Nice To Haves

  • Experience with Raiser's Edge helpful
  • Knowledge of social services field experience helpful

Responsibilities

  • Schedule and manage the Executive Director's meetings with staff, donors, and the Board of Directors with calendar invitations and Zoom links, as well as other office software systems.
  • Reserve meeting rooms and enter participants in Angus.
  • Maintain clear, concise and efficient communication with all stakeholders.
  • Draft and edit Executive Director's correspondence.
  • Oversee mailing and filing of correspondence.
  • Maintain physical and electronic filing system for the Executive Director's and the Board's correspondence.
  • Schedule and manage Board and committee meetings with calendar invitations and Zoom.
  • Prepare for Board and committee meetings by drafting agendas, managing meeting content, organizing and distributing all meeting materials with attentiveness to deadlines.
  • Attend Board and committee meetings (virtual with the possibility of occasional in-person meetings) to record the minutes.
  • Maintain Board directory, committee assignments, Board matrix and all Board corporate forms.
  • Maintain and archive current and past Board records and demonstrate initiative with document revisions and all necessary follow-up.
  • Ensure all institutional corporate and Board documents are updated annually or as needed and maintained in accordance with best practices.
  • Coordinate Junior Board activity.
  • Maintain confidentiality of the Executive Office.
  • Additional projects and responsibilities as needed.
