About The Position

The Sr. Administrative Support position follows clearly detailed specific procedures in completing several repetitive clerical steps performed in prescribed or slightly varied sequence, such as coding and filing documents in an extensive alphabetical file; could involve simple posting to individual accounts, opening mail, calculating and posting charges to departmental accounts, operating basic office equipment, e.g., photocopier, facsimile, multi-line phone/voicemail systems, mailing machines, and minimal computer programs. Little or no subject-matter knowledge is required, but the clerk uses his or her own judgment in choosing the proper procedure for each task. This is a highly supervised position. The Sr. Administrative Support position works closely with their manager and assists with additional delegated duties revolving around training and learning managerial tasks.

Requirements

  • High school diploma or GED required
  • Experience in collections or related profession required.
  • Working knowledge of modern office procedures, methods, and computer equipment
  • Excellent communication skills
  • Principles and practices of customer service
  • Establish a good working relationship with team members and internal contacts in order to maintain and continuously strive to improve the level of overall service being provided.
  • Good organizational skills and attention to detail
  • Ability to comply with rules, regulations, laws and methods as related to debt collection
  • Work independently in the absence of immediate supervision
  • Ability to handle and resolve recurring problems.
  • Knowledge of collection practices
  • Knowledge of collection software/databases
  • Proper telephone etiquette
  • Modern office procedures, methods, and computer equipment
  • Demonstrates knowledge of FDCPA regulations
  • U.S. citizenship required
  • Must be eligible to be licensed as a collector in certain states.

  • Supervisory experience preferred.

Responsibilities

  • Proactively manage the activities of assigned administrative support employees by ensuring the following functions are efficiently performed in a quality-oriented environment reflecting company values.
  • Prepare and submit wage garnishment documents and gather legal documentation.
  • Prepare and submit administrative resolution documents and gather legal documentation to be submitted to the client.
  • Prepare and submit Department of Justice litigation documents and gather legal documentation.
  • Work independently in the absence of immediate supervision.
  • Confirm payment arrangements.
  • Notify debtors of payments returned due to insufficient funds.
  • Prepare legal referral documents.
  • Communicate with employers regarding employment verifications and garnishment orders.
  • Communicate with debtors regarding requested documents.
  • Process payments including but not limited to: checks, misdirected payments, debit cards.
  • Review accounts and schedule contact dates for follow-up calls.
  • Follow up with places of employment for garnishment payments.
  • Safeguard computer systems by following proper username and password management.
  • Secure desk and workstation when not present, including locking sessions and putting sensitive paperwork away.
  • Report any security violations immediately.
  • Follow all Information Technology policies and procedures regarding the management of system accounts and equipment.
  • Assist in the training and development of new and current collection support representatives.
