About The Position

As part of the Sending Support Team at the Austin Stone Community Church, the Sending Support Coordinator (SSC) will be responsible for providing administrative, systems, program, and event-logistics support across the Collectives and the department’s churchwide initiatives. The SSC will report to the Sending Support Director.

Requirements

  • High School Diploma or equivalent
  • 2 years of experience in an administrative support role or as a program coordinator
  • Demonstrated ability to plan, organize, and support program administration across multiple Collective programs and events.
  • Strong ability to manage several programs and events simultaneously, with dependability and excellence.
  • Proven critical thinking skills.
  • Shows attention to detail with data integrity, registration systems, and event logistics.
  • Able to provide problem-solving support.
  • Able to successfully develop new and better ways to work and promote a continuous improvement mentality.
  • Demonstrated capacity to inspire, instruct, and encourage through effective communication in various settings.
  • Writes in a clear, concise, organized, and convincing manner for the intended audience.
  • Able to communicate and work within a complex organizational structure with multiple layers of input.

  • Proficient use of telephone and web video conferencing.

Responsibilities

  • Provide program administration for Collective programs and events, including registration and rosters, participant communication, logistics and travel coordination, and coordination with vendors and external partners.
  • Coordinate churchwide events and programs connected to the Collectives, including logistics, communications, and follow-up.
  • Own data integrity for program administration, ensuring registrations, rosters, and participation records are maintained in the department’s designated database rather than a vendor’s own system.
  • Support the volunteer teams by administering recruitment, recognition, and logistics touchpoints across its various lanes (e.g., hosting, storytelling).
  • Coordinate story-capture logistics and publishing mechanics for churchwide content and testimonies shared through the department.
  • Manage onboarding of new community members and volunteers to the department’s digital and in-person community.
  • Maintain current, thorough playbooks and documentation for every area of responsibility, so that any coordinator can step into another’s work with minimal disruption.
  • Maintain quality relationships with congregation teams, ministry partners, vendors, and key external parties.
  • Support special projects as assigned.
  • Attend all required events and activities for The Austin Stone and the Sending Support Department, including staff meetings, prayer meetings, special events, retreats, and staff development days.
