Requirements

  • A high school diploma and one to three (1-3) years of experience in an office support function; or an equivalent combination of education and/or experience may be considered.
  • Ability to handle sensitive and confidential information with professionalism and integrity.
  • Professionally present information and respond to questions.
  • Proficiency in Microsoft Outlook, Excel and Word.
  • English language fluency, verbal and written.
  • Acceptable results of a pre-employment background check, credit check and drug/alcohol test.

Responsibilities

  • Greet and assist visitors with a warm and professional demeanor; register and guide visitors through the check-in process and notify employees of arrivals.
  • Answer and direct incoming phone calls to the appropriate personnel.
  • Maintain a clean and organized reception area.
  • Manage and coordinate incoming and outgoing mail and packages.
  • Schedule and manage conference room bookings; assist with event logistics and coordinate special events, including food truck visits and other requested activities.
  • Coordinate with facility-related vendors to ensure regular schedules are maintained and goods are delivered appropriately (e.g., vending machines, first aid kits, custodial supplies, rugs).
  • Keep track of staff movements and maintain updated internal directories.
  • Monitor expenditures and identify cost-saving opportunities.
  • Monitor CCTV systems and report suspicious activity or security concerns to the appropriate personnel in a timely manner.
  • Issue and manage employee and visitor access credentials, key cards, and physical keys following all company guidelines and procedures.
  • Escort contractors, vendors, and visitors within secured areas of the facility as required.
  • Conduct periodic parking lot and perimeter walking patrols to observe and report safety or security concerns.
  • Provide general security support for Casper-area True Companies locations as directed.
  • Other duties as assigned.
