About The Position

This position involves performing a variety of advanced secretarial and clerical tasks. The role is responsible for assisting in the operations and management of the school office, including making independent decisions during the supervisor's absence, managing accounting records for the yearly budget, accumulating and compiling materials for reports, attending meetings as requested, directing the preparation, processing, updating, maintaining, and securing of office files and correspondence, and serving as the timekeeper for the school area. Normal office duties are also included. This position requires daily contact with prisoners.

Requirements

  • Completion of high school.
  • Secretary 7: Two years of office experience involving administrative support practices, including one year equivalent to 6-level administrative support experience.
  • Secretary E8: Three years of office experience involving administrative support practices, including one year equivalent to experienced-level administrative support work or equivalent to a Secretary 7 or Legal Secretary 7.
  • Secretary 9: Four years of office experience involving administrative support practices, including one year equivalent to advanced 8-level administrative support work, or equivalent to a Secretary E8, or Legal Secretary E8.
  • OR Secretary 9: Four years of office experience involving administrative support practices, including two years equivalent to experienced E7-level administrative support work, or equivalent to a Secretary 7, or Legal Secretary 7.
  • Applicants who have been convicted of a misdemeanor or felony are ineligible for employment with the Department of Corrections until satisfactory completion of any sentence imposed, including parole or probation.
  • Must report any possible conflict of interest.

Nice To Haves

  • Non-Custody New Employee Training (NCNET) either 40 hours or 80 hours of initial in-person training based on their level of offender contact and job classification.
  • Additional online training to successfully complete their non-custody new employee training.

Responsibilities

  • Apply CFA Education directives and rules and departmental and facility policy and procedure to daily secretarial duties.
  • Perform a variety of secretarial and clerical tasks at the advanced level.
  • Assist in the operations and management of the school office in its entirety as the management assistant.
  • Make independent decisions during the supervisor's absence.
  • Manage the operation and implementation of accounting records for the yearly budget.
  • Accumulate and compile materials and facts for required reports.
  • Attend meetings as requested by supervisor.
  • Direct supervision of preparing, processing, updating, maintaining and securing office files and correspondence.
  • Serve as timekeeper for school area.
  • Perform normal office duties.
