About The Position

ASRC Federal Field Services, a Subsidiary of ASRC Federal Holding Company, is currently seeking a Part-Time Secretary at the Plum Island Animal Disease Research Center, located on Plum Island, NY. (1.5 nautical miles off North Fork of Long Island & 6 nautical miles off coast of Old Saybrook, CT). Marine transportation furnished by Government provided ferry. This role performs administrative functions in support of the Center Wide Support Program, ensuring applicable processes are adhered to as relates to facility specific requirements and prescribed policies and procedures. The secretary will provide direct support to multiple department managers, project support staff and projects, which may include entering biocontainment and active work zones. Responsibilities include preparing necessary documents for drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, or providing information to callers. The position offers high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Additional duties involve maintaining information files, processing paperwork, using PC applications for spreadsheet, word processing, and database management, setting up and maintaining filing systems, completing forms, reviewing work for accuracy, preparing memos and letters, preparing responses to routine inquiries, making travel arrangements, compiling information and preparing travel expense reports, distributing mail, ordering supplies, and taking notes at meetings to prepare draft minutes.

Requirements

  • High School Diploma or GED.
  • 2-4 years of more experience in administrative support position.

Responsibilities

  • Prepare memos, letters, using word processing, spreadsheet, database, or presentation software.
  • Prepare responses to correspondence containing routine inquiries.
  • Make travel arrangements.
  • Compile information and prepare travel expense reports.
  • Distribute mail and other correspondence.
  • Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic administrative support tasks.
  • Take notes at meeting and record key points, making sure all decisions and proposals are recorded; prepare draft of minutes.
