About The Position

This position involves creating, tracking, and maintaining comprehensive reports, analyzing data, and preparing reports for Operations' employees. The role requires collaboration with Property Development Staff to deliver citywide services, including preparing statistical and descriptive reports, correspondence, and administrative reports. A key responsibility is coordinating with residents to schedule and follow up on required repair work, ensuring timely completion of work orders for close-out. The role also involves assisting with requesting and responding to needs within prescribed guidelines, coordinating the completion of repairs, and scheduling multiple trade work sequentially to ensure efficient completion of entire repairs. Additionally, the position requires organizing and planning meetings, preparing agendas, and maintaining office files. The Secretary will work with all levels of Authority personnel to resolve issues related to the assigned Neighborhood Administrator portfolio and may be required to go into the field to assist the Neighborhood Administrator on special assignments. The specific neighborhood covered is No. 03, which includes Baisley Park, Beach 41st Street, Hammel, Redfern, and South Jamaica.

Requirements

  • Must have civil service status in the title of Secretary/Clerical to be considered.
  • A four-year high school diploma or its educational equivalent approved by a State’s Department of Education or a recognized accrediting organization.
  • Demonstrate the ability to type accurately on a personal computer at a minimum speed of 35 words per minute after errors are deducted.

Responsibilities

  • Create, track and maintain comprehensive reports; analyze and prepare reports for Operations' employees; perform data research.
  • Work in collaboration with the Property Development Staff in the delivery of services citywide; prepare statistical and descriptive reports, correspondence and administrative reports.
  • Coordinate with residents to schedule all required repair work and follow up as needed.
  • Assist with requesting and responding with prescribed guidelines; coordinate the completion of repairs and ensure the completed work orders to the development for close out.
  • Assist with the scheduling of multiple trade work sequentially to make all work order dates in close date range of each other to ensure timely completion of entire repair.
  • Organize and plan meetings to include: prepare meeting agendas and scheduling.
  • Create and maintain office files.
  • Work with all levels of Authority personnel to resolve issues related assigned Neighborhood Administrator portfolio.
  • Perform related duties.
  • May require going in the field to assist the Neighborhood Administrator on special assignments.
