About The Position

This position assists with the ministry of the parish of St. Joseph of Onekama by supporting the various administrative functions of the parish. The Secretary directs these efforts with expertise from a framework of shared ministry and Catholic values.

Requirements

  • High school graduate or equivalent required
  • A minimum of three (3) years of administrative and/or general secretarial experience preferred.
  • Efficiency in Google Workspace, Canva, Weebly/Square website builder, Microsoft Office programs, and QuickBooks.
  • Must be able to maintain confidentiality.
  • Prolonged periods of sitting at a desk and working with hands in repetitive motion tasks.
  • Requires some standing, stooping and bending.
  • Must be able to lift up to 15 pounds at times.

Nice To Haves

  • Associates Degree in office administration or related field preferred.

Responsibilities

  • Performs secretarial duties for the pastor, and other designated staff.
  • Receives and places telephone calls, schedules appointments and meetings, prepares written communication and processes mail.
  • Greets and refers guests to the appropriate minister, service or council.
  • Prepares bulk mailings as needed.
  • Establishes and maintains office record keeping and filing systems.
  • Maintains schedule of office hours for staff.
  • Schedules parish facilities and coordinates the use of keys for facilities.
  • Attends meetings as requested.
  • Oversees the opening and closing of the office each day, ensuring all machines are turned on/off, windows and doors are locked, and all appropriate lights are on/off.
  • Coordinates volunteer programs as needed.
  • Participates in new employee orientations.
  • Prepares and produces the weekly bulletin, gathering and editing content and layout, and completing the bulletin in time for final printing.
  • Prepares and distributes staff meeting minutes.
  • May maintain the parish offering envelope system, post weekly contributions and mail annual statements as required by the IRS.
  • Coordinates scheduling of weddings, funerals, and other parish events.
  • As point of contact, maintains communications with family regarding procedures for services.
  • Maintains sacramental record keeping system; recording all weddings, funerals, baptisms, as well as those who receive first Eucharist, first reconciliation and confirmation.
  • Assists those in need who come in to the parish office providing assistance supported by the parish and/or through referring persons to the appropriate charitable or social agencies.
  • Maintains mass intention book, cards, and monies.
  • Keeps lobby and reception area orderly and neat.
