About The Position

Provide assistance to the daily operation of the high school campus. The role involves working under general or specific direction, performing assigned duties with considerable independence in work methods and priority of assignments. The individual will exercise judgment based on knowledge and experience to plan work details and select appropriate methods to accomplish objectives. This position works independently, receiving general supervision and guidance, and performs routine tasks to generate department documentation, records, and correspondence. The secretary will assist the principal with report and document production, provide secretarial services, manage department mail, and maintain records for a department or school, including filing, memos, letters, and weekly calendars. Accuracy and completeness of records are essential to ensure compliance with established policies and procedures. The role also involves providing reports, correspondence, and verbal assistance to school officials, scheduling appointments, maintaining the principal's calendar, coordinating work requiring participation from other departments, collecting money, keeping accurate financial records for fundraisers, processing and maintaining records for supplies, equipment, and financial/budget records, and handling accounting for school funds and activities. Secretarial services are provided to a school principal or two or more administrators. A professional, courteous, and businesslike manner is expected in all interactions. Attendance and participation at evening activities may be required. The secretary will fulfill all obligations of correspondence, reporting, surveying, and other tasks required of the school office in the absence of the school principal. Other duties as assigned.

Requirements

  • High school diploma or general education degree (GED).
  • Three (3) years of clerical or secretarial experience.
  • Excellent organizations, communication, public relations and interpersonal skills.
  • Knowledge of computers and software applications.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Maintains emotional control under stress.

  • Locate and attach files of other reference information and correspondence to be answered by supervisor.
  • Maintain responsibility for accuracy and completeness of records for a department or school, i.e., filing, memos, letters and weekly calendars.
  • Maintain an optimal level of accuracy for assigned work to ensure compliance with established policies and procedures.
  • Provide reports, correspondence and verbal assistance to school officials.
  • Schedule appointments and maintain calendar for principal.
  • Coordinate specific work requiring the participation of other departments.
  • Collect money and keep and accurate set of books to demonstrate receipts and disbursements and keeps monthly reports and recaps fund raiser.
  • Process and maintain records such as purchases of supplies and equipment, financial/budget records for school, or other items which occur in large numbers.
  • Perform school fund (principal's fund) and activities fund accounting.
  • Perform operational fund allocation accounting.
  • Handle purchasing and receiving.
  • Provide secretarial service to a school principal or two or more administrators.
  • Demonstrate a professional, courteous and businesslike manner in all contacts with students, staff, parents and public.
  • Attend and participate at evening activities.
  • Fulfill all obligations of correspondence, reporting, surveying and other tasks required of the school office in the absence of the school principal.
  • Perform other duties as assigned.
