About The Position

Provides secretarial services to the head of a major division or office, or other top level manager at the County policy level; or provides full-time administrative and support services to a board or commission; and performs other related duties as required. There is one (1) immediate permanent full-time vacancy with the Hawai'i Police Department - Police Commission Office in Hilo. Note: This position also serves as secretary to the Fire Commission. The eligible list may be used for other permanent and temporary vacancies as they arise during the life of the list. Temporary appointment may lead to conversion to permanent appointment.

Requirements

  • Graduation from high school, and four (4) years of substantive clerical, stenographic, or secretarial experience.
  • Ability to type or keyboard at the rate of 40 net words per minute.
  • Ability to take dictation at the rate of 80 words per minute and transcribe notes accurately.
  • Ability to understand and interpret laws, ordinances, and regulations.
  • Ability to summarize and brief materials.
  • Ability to give and follow oral and written instructions.
  • Ability to deal tactfully and effectively with employees and the public.
  • Ability to work harmoniously with others.
  • Valid driver's license.

Nice To Haves

  • An Associates degree or higher from an accredited college or university may be substituted for lack of the required clerical experience on a year for year basis (examples: 30 college credits can be substituted for one (1) year of the required clerical experience, an Associates degree can be substituted for two (2) years of the required clerical experience, and a baccalaureate degree or higher can be substituted for four (4) years of the required clerical experience).

Responsibilities

  • Organizes and coordinates matters that require superior's attention.
  • Searches files and assembles background materials and information for the superior's action or decision.
  • Summarizes and briefs materials.
  • Coordinates the preparation of documents and filings and provides information to the public or others based on the knowledge of department's, board's, or commission's functions, organization, policies, regulations, or the superior's thinking and attitude.
  • May take and transcribe dictation of letters, reports, and other materials.
  • Screens correspondence and other materials; answers correspondence by independently composing letters, statements, or memoranda for signature of superior.
  • Screens office callers and visitors.
  • Sets up appointments for superior; makes confidential contacts.
  • Arranges logistics for meetings; notifies appropriate parties; prepares and distributes agendas; records and transcribes minutes of meetings, conferences, and hearings.
  • Answers telephone and routes calls or relays messages; receives complaints; records/takes and transcribes statements from complainants or witnesses and refers to appropriate individual(s) for action.
  • Sets up, codes, and maintains files of correspondence, reports, minutes, confidential materials, and other documents.
  • May supervise clerical employees.
  • May assist with account record keeping; maintains inventory of equipment and supplies.
  • May participate in budget preparation.
  • May operate vehicle to perform work-related travel duties.
  • Performs other related duties as required.
