About The Position

This position serves as the Secretary to the Principal, functioning as an office manager. The role involves preparing correspondence, maintaining records, managing school finances including payroll and budgets, and handling daily administrative tasks. The secretary is responsible for open communication with the school administration and central office divisions, as well as greeting visitors and managing incoming mail. Regular on-time attendance and dependability are essential. The position requires the ability to learn additional software programs as needed.

Requirements

  • High School Diploma or GED is required.
  • Minimum of two (2) years’ experience in bookkeeping or office management is required.
  • Considerable knowledge of effective office practices and procedures/excellent organizational skills.
  • Ability and willingness to establish and maintain excellent public and community relations.
  • Ability to react quickly and effectively to oral and written instructions.
  • Possesses excellent oral and written language skills (grammar, punctuation, spelling).
  • Ability to use good judgment and problem-solving skills to address issues and concerns within the scope of job responsibility.
  • Computer literate in Microsoft Office Suite and ability to learn additional software programs as needed.

Nice To Haves

  • Experience with budgets, payroll, and cash handling is preferred.

Responsibilities

  • Functions as office manager.
  • Prepares correspondence and other documents as required.
  • Maintains files and records related to principal’s accountability.
  • Responds to requests and maintains open communication with office of school administration and other central office divisions.
  • Meets payroll deadlines, manages school finances including – daily bookkeeping, preparing monthly and annual financial reports, tracking the school budget, placing school orders, and undergoing annual audits.
  • Answers phone, takes accurate messages, welcomes, and assists visitors to the school.
  • Receives, sorts and forwards mail and messages for the school staff.
  • Maintains regular on-time attendance and dependable.
  • Performs other duties as prescribed by the school principal.
