About The Position

Provide clerical support to the Lower Pottsgrove School Principal in a manner that is professional, diplomatic, and complies with confidentiality requirements. Assist and support the principal with all clerical duties including schedule appointments/orientations and screen telephone calls.

Requirements

  • Five (5) years secretarial experience required
  • High School diploma required
  • Submission of pre-employment medical examination (Section 148 of the Pennsylvania School Code)
  • Submission of a report of criminal history record from the Pennsylvania State Police (Section 111 of the Pennsylvania School Code)
  • FBI Criminal History Record
  • Submission of a clearance report from the Pennsylvania Department of Public Welfare in accordance with Act 151 of 1994
  • Must have current Act 34, 151 & 114 Clearances

Nice To Haves

  • Associates degree in business preferred
  • Such alternatives to the above qualifications as the Board may find appropriate and acceptable

Responsibilities

  • Perform clerical duties, including but not limited to answering telephones, distribution of mail, typing, filing, and scheduling appointments.
  • Maintain accurate, confidential records of the student database including class roster (via Powerschool), entering/withdrawing students, and requests for student records.
  • Develop and maintain a positive working relationship with parents; respond to parent, teacher and student requests as needed.
  • Organize current year student pictures into permanent files ensuring that the file is in order.
  • Oversee the requisitions, purchasing, and distribution of supplies, books, school furniture, and all building purchases; maintain the school stockroom/area.
  • Primary point of contact for building transportation and student assignments with transportation.
  • Duplicate all faculty manuals before new school year begins; distribute updates as needed.
  • Update and maintain the use of facilities form; coordinate specials events and update the school calendar.
  • Register incoming students and student withdrawls throughout the school year.
  • Type and distribute discipline letters to parents as soon as possible. Director of Pupil Services and Superintendent must also be notified.
  • Assist building administrators with timesheet errors, corrections, and collection of timesheets when applicable.
  • Log all visitors in the Raptor System
  • Send out daily staff updates/communications
  • Assist with preparation of letters for parents and students who are receiving recognition and awards.
  • Perform other duties as assigned by the Elementary Principal and Assistant Principal.
