About The Position

The Secretary Nursing Unit Secretary in the Endoscopy department is responsible for managing the daily schedule, patient communication, and administrative tasks. This role requires excellent communication and organizational skills to interact with patients, physicians, and hospital staff. The secretary will handle scheduling procedures, transcribe orders, maintain patient records, manage supplies, and contribute to departmental operations.

Requirements

  • Ability to read and transcribe Physician orders.
  • Knowledge of medical terminology.
  • Computer skills essential.
  • Interpersonal skills necessary to deal effectively and courteously with a diverse group of Hospital personnel, patients, and visitors.
  • Good communication/phone skills required.

Nice To Haves

  • One (1) year scheduler experience preferred.

Responsibilities

  • Arrange the daily Endoscopy schedule according to service/Physician block time.
  • Receive endoscopic procedures from physicians or their offices by phone or in person and prepare and revise the daily schedule for review by the nurse manager/charge nurse.
  • Receive, sort, and organize all interdepartmental communications.
  • Transcribe orders in a reasonable amount of time.
  • Schedule and coordinate special patient appointments with other departments as directed by Health Care Team Members.
  • Enter various requests, changes, charges, and information into the computer.
  • Book new cases and PAT dates and times for scheduled cases in the computer.
  • Initiate, complete, and maintain the integrity of the patient's medical record.
  • Assemble packets of patient chart forms prior to admission and maintain the chart in proper sequence, filing and stripping as necessary.
  • Prepare charts according to protocol prior to patient transfer and/or diagnostic procedure and forward to the Medical Records Department after discharge.
  • Inventory supplies and initiate requisitions on a weekly basis to maintain unit-specific inventory at par levels.
  • Store supplies in designated areas.
  • Provide input into the development and maintenance of established par levels for supplies.
  • Serve productively on Hospital/Departmental/Unit committees.
  • Attend staff and committee meetings unless excused or off duty.
  • Review communication issued by the Nursing Department.
  • Provide Unit-specific orientation in accordance with standard procedure.
  • Assist in the orientation of new Unit Personnel under the direction and supervision of the PCC/Designee.
  • Maintain current knowledge of updated booking procedures and running of reports.
  • Complete mandatory and continuing education programs.
  • Maintain a high level of professionalism and courtesy with physicians, offices, and other Hospital departments.
  • Perform various communication duties, including returning messages left on voice mail in a timely manner.
  • Assist in the orientation of new employees in the scheduling office with the computer and telephone system.
  • Perform Hospital-related and other departmental duties as assigned.
  • Develop and display behavior that promotes cohesiveness within the department.
