About The Position

This is a temporary, part-time position serving as the Secretary to the Chehalem On-Line Academy (COA). The role involves acting as a communication liaison for families and NDPS staff, managing reception duties, operating office equipment, and handling various administrative tasks related to student records and curriculum materials. The position requires flexibility, accuracy, and the ability to maintain confidentiality. A preference is given for candidates who can communicate with Spanish-speaking students and adults.

Requirements

  • High school diploma or general education degree (GED).
  • Medic First Aid Card certification.
  • Ability to read English and comprehend complex technical language.
  • Ability to write memoranda and correspondence in English.
  • Ability to effectively present information in one-to-one and small group situations.
  • Ability to perform basic mathematical calculations through the high school level with a high degree of accuracy.
  • Ability to apply common sense to carry out detailed, but basic, written or oral instructions in English.
  • Ability to deal with problems involving a few concrete variables in standardized situations.
  • Ability to work collaboratively and establish and maintain effective working relationships with co-workers, supervisor(s), staff, students, parents and community.
  • Ability to work in a school environment.
  • Able to use a telephone, operate a computer, and use other office equipment.
  • Able to drive to other program sites and meetings.

Nice To Haves

  • Knowledge of business English, word processing and spreadsheet software with emphasis on Microsoft Office and Google Suite Applications.
  • Good reading, writing, and organization skills.
  • Knowledge and understanding of benchmark standards per grade level(s) assigned.
  • Skilled in keyboarding, computer entry/operation and operation of office equipment.
  • Ability to maintain a high level of confidentiality both in and out of the school setting.
  • Ability to perform detailed assignments with a high degree of accuracy and thoroughness.
  • Ability to compose memoranda and letters with clarity.
  • Ability to understand and follow written and oral instructions.

  • At least three years or equivalent secretarial experience.
  • Experience working in a public school setting.

Responsibilities

  • Act as COA communication liaison for families and NDPS staff.
  • Serve as a receptionist for students and parents.
  • Operate office equipment such as copy machines and fax machines.
  • Review format, type, and assemble various forms and reports.
  • Coordinate student demographic information.
  • Design and implement data collection forms.
  • Coordinate mailings.
  • Coordinate requested purchases of curriculum materials with DO staff.
  • Process and code time sheets and reimbursement forms.
  • Maintain daily attendance records and contact parents of absent students.
  • Coordinate the registration and withdrawal of students.
  • Maintain transcripts and other official student documents.
  • Coordinate grade verification, post grades, and associated reports.
  • Process student accident reports.
  • Log, distribute, and file discipline referrals.
  • Cultivate and model a respectful working and learning environment.
  • Effectively work and communicate with students, parents, and school personnel from diverse cultures or backgrounds.
  • Work harmoniously with others.
  • Perform other duties as assigned by the principal and/or designee.
