About The Position

Oneida Professional Services (OPS) is looking for a highly motivated and well-organized individual to fill our Secretary II position over at Port Hueneme. This is a fully on-site position at the Naval base.

Requirements

  • High School Diploma or GED.
  • Minimum of two (2) years of administrative, clerical, secretarial, or office support experience.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Strong written and verbal communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to prioritize multiple assignments and work independently with minimal supervision.
  • Ability to interact professionally with government personnel and contractor staff.
  • Active Secret Security Clearance or ability to obtain and maintain a Secret clearance.

Nice To Haves

  • Associate's Degree from an accredited institution.
  • Experience supporting the Department of Defense (DoD), Department of the Navy, or other federal agencies.
  • Knowledge of Navy correspondence manuals and federal administrative procedures.
  • Experience with travel coordination, records management, and timekeeping systems.
  • Experience supporting engineering, technical, or program management organizations

Responsibilities

  • Provide clerical and administrative support to personnel within the Digital Engineering Department.
  • Perform and coordinate daily administrative functions required to support organizational operations and mission objectives.
  • Draft, review, edit, and route correspondence in accordance with Department of the Navy and NSWC Port Hueneme Division policies, procedures, and formatting requirements.
  • Review documents for accuracy, grammar, formatting, completeness, and regulatory compliance prior to management signature or coordination.
  • Maintain calendars, schedule appointments, coordinate meetings, and arrange conference logistics.
  • Coordinate travel arrangements and prepare associated travel documents, vouchers, reports, and itineraries.
  • Perform timekeeping responsibilities, including monitoring missing or unapproved timecards, leave requests, and overtime submissions.
  • Maintain administrative records, logs, databases, spreadsheets, and filing systems.
  • Track action items, status reports, deliverables, and data call responses.
  • Gather, organize, and distribute information and administrative products to support organizational requirements.
  • Collaborate with internal stakeholders to improve administrative processes and workflow efficiency.
  • Support special projects and additional administrative assignments as required.
