About The Position

Our Counseling program provides quality, affordable counseling services to individuals, families, children and adolescents. This role provides clerical support and intake services during evening hours of 3:00pm-8:00pm, Monday - Thursday for assigned department or program.

Requirements

  • High school or equivalent plus one year of experience in secretarial or data entry position.
  • Bilingual (Spanish) Required.
  • Must be able to relate to variety of clients in a calm, professional manner.
  • Must have experience and knowledge in basic accounting, correspondence and other secretarial functions.
  • Must be able to work with multiple deadlines in an environment that has frequent interruptions.
  • Must be sensitive to cultural differences within the agency and community.
  • Fluent in Microsoft Office Applications (Word & Outlook).
  • Must be able to work in a fast paced environment with interruptions.
  • Must be able to stoop, bend, squat, sit on floor and ambulate over uneven floor surfaces including stairs and steps.
  • Must be able to visually and auditory assess and interact with clients to ensure their safety and wellbeing.
  • Requires driving and may lift up to 25 pounds.
  • Valid AZ driver’s license, reliable transportation and ability to show proof of registration/insurance.
  • You must be 21 years of age or older to drive on behalf of Catholic Charities.
  • Level One Fingerprint clearance or ability to obtain fingerprint clearance; must maintain clearance.

Responsibilities

  • Answers phones inquiries regarding services provided by department.
  • Provides general information about programs offered by agency. Performs intake functions to accept referrals or gives referrals as needed.
  • Sets appointments, determines fee schedule, tracks billing and receives client payments. Gives receipt to client, record fees accurately per agency guidelines, and balance payments.
  • Responsible for setting up and maintaining client file. Collects and compiles pertinent data from client and ensures information is in the client file and entered into system.
  • Performs a variety of clerical and administrative tasks for department including but not limited to correspondence, faxing, copying, file maintenance, ordering supplies, etc.
  • Provides data entry services for departments or programs as assigned or scheduled.
  • Maintain strict confidentiality in all tasks.
  • Promote ongoing commitment to excellence and continual quality improvement to ensure the highest quality of services to our staff and clients.
  • Performs other duties as assigned.
