About The Position

Legal Services NYC (LSNYC) fights poverty and seeks racial, social and economic justice for low-income New Yorkers. For over 50 years, we have challenged systemic injustices that trap people in poverty and provided legal services that help our clients meet basic needs for housing, income and economic security, family and immigration stability, education, and health care. LSNYC is the largest civil legal services provider in the country; our staff of more than 600 people in neighborhood-based offices and outreach sites across all five boroughs helps hundreds of thousands of New Yorkers annually. We partner with scores of community-based and client-run organizations, elected officials, public agencies, pro bono lawyers, and the courts to maximize our effectiveness. Our work fights discrimination and helps to achieve equity for all low-income New Yorkers. LSNYC employees have numerous opportunities for growth and professional development, including access to our internal Justice Learning Center, which provides opportunities to earn free CLEs and gain experience as a trainer. Bronx Legal Services seeks an Executive Secretary II to join the dynamic leadership team of a community-based legal advocacy center with over 185 advocates, a $35 million annual budget, and two neighborhood offices. The Executive Secretary II is a key member of the administrative management team and will work under the supervision of the Director of Administration, in all aspects and administrative support of the Bronx office. Bronx Legal Services is part of Legal Services NYC, the largest provider of free civil legal services for low-income people in the country. Bronx Legal Services has worked tirelessly for nearly six decades to provide high-quality innovative representation to address the pressing needs of the Bronx’s diverse low-income population, in the areas of housing, homeowner protection, public benefits, access to healthcare, disability rights, family law, immigration law, consumer law, access to education, and employment rights. Our mission is to fight poverty and seek racial, social and economic justice. Requirements

  • At least 7 years of relevant administrative experience with some of the experience in working in a nonprofit and legal services setting.
  • Strong interpersonal skills,
  • Must pay close attention to detail,
  • Strong analytical and problem-solving skills
  • Conscientious self-starter, independent worker, manage large numbers of tasks simultaneously,
  • An ability to manage multiple priorities, work well under pressure and tight deadlines;
  • Proficient in Microsoft Word, Outlook and Excel.
  • Intermediate knowledge of Adobe Pro.
  • Excellent written and oral communication skills.
  • Excellent team player, work well in teams and foster collaboration.
  • A demonstrated passion for social justice and extensive experience working with low- income communities and communities of color to advance equity.
  • Familiarity with the Bronx and the communities we serve.

Responsibilities

  • Handling petty cash, paying bills, preparing, authenticating and submitting personal reimbursements, and assisting with other fiscal-related requests;
  • Liaison between the Bronx office and Central finance department
  • Handling escrow under the supervision of the Director of Administration;
  • Scheduling appointments, making telephone calls, and drafting basic correspondence maintaining group calendar;
  • Ordering and maintaining office supplies and equipment;
  • Assisting management with monitoring and ensuring maintenance of officewide needs, including publications, furniture and office conditions.
  • Reviewing, sorting, distributing, stamping, collecting and posting mail;
  • Using current programs for word processing, database and information management, and document preparation;
  • Entering and tracking information in electronic format, including databases and grant management systems, and running reports with the data;
  • Assisting in the maintenance of client and office-related files, including copying, scanning and distribution materials, filing and assisting with requests related to preparing files for program audits;
  • Providing information and referrals to clients and community members utilizing available internal and external resources;
  • Using language-assistance resources, including translation and interpretation services available to assist clients and community members with a non-English language preference.
