About The Position

Western Connecticut State University (WCSU) is seeking a full-time Secretary 2 to support the Education & Educational Psychology Department on its Midtown Campus. This role involves a full range of secretarial duties, providing support to the Department Chairperson and faculty, managing calendars, processing contracts, administering time sheets, preparing various financial and travel forms, tracking P-cards, maintaining budget accounts, creating and proofreading correspondence, submitting maintenance requests, ordering supplies, assisting students with permissions via Banner, accepting applications and documents for department events, collecting and maintaining syllabi and other documents, disseminating course evaluation links, compiling data for reports, and preparing/tracking/distributing reports.

Requirements

  • Current State of CT employee of the agency listed above for at least six (6) months of full-time service or full-time equivalent service, absent any applicable collective bargaining language.
  • Three (3) years of experience above the routine clerk level in office support or secretarial work.
  • One (1) year of the General Experience must have been as a Secretary 1 or its equivalent.
  • College training in the secretarial sciences may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling one-half (1/2) year of experience to a maximum of two (2) years.

Responsibilities

  • Serve as a welcoming professional and student-centered, first point of contact for students, faculty and staff.
  • Provide support to the Department Chairperson and general support to department faculty.
  • Manage calendars.
  • Generate, process, maintain, and file contracts for part-time faculty and outside agencies.
  • Administer time sheets through Core-CT.
  • Prepare honorariums, faculty workload forms, travel forms, and purchase requisitions.
  • Track P-card usage and maintain budget accounts.
  • Create and proofread correspondence.
  • Submit maintenance requests and order/maintain office supplies.
  • In consultation with the Chairperson, grant permissions and overrides to students via Banner.
  • Accept applications, documents, and checks for annual department events.
  • Collect syllabi and other documents for the departments and maintain the information in a centralized online location.
  • Create and disseminate course evaluation links and maintain the information in a centralized online location.
  • Compile data for report preparation.
  • Prepare, track, and distribute various reports.
