About The Position

The Secretary 2 will provide clerical support. All district employees must demonstrate regular and predictable attendance, support the district’s vision, mission, goals, and Strategic Plan, engage in civility, respect, and professionalism, and maintain the professional knowledge and skills necessary to perform the essential duties and responsibilities of their positions.

Requirements

  • Basic computer skills, such as keyboarding, spreadsheets, and presentation software.
  • Ability to operate various general office machines, including but not limited to adding machines, copy machines, calculators, computers, collators, decollators, call directories, and other telephone-related devices.
  • Ability to plan, assign, review, and correct the work of and train lower level employees.
  • Ability to maintain payroll and other related personnel functions.
  • Ability to prepare bookkeeping and various cost center reports.
  • Ability to perform basic secretarial functions, including but not limited to setting of appointments, answering phones, and note taking.
  • Demonstrates required skills.
  • Adapts to new technologies.
  • Troubleshoots technological problems.
  • Uses technology to increase productivity.
  • Keeps technical skills up to date.

Responsibilities

  • Verifies, codes, and/or classifies incoming materials and documents; returns incorrect material to senders for needed correction, and maintains follow-up procedures to ensure return of corrected materials.
  • Makes computations needed for reports, budgets, and records; condenses data for department use.
  • Operates various general office machines, including but not limited to adding machines, copy machines, calculators, computers, collators, decollators, call directories, and other telephone-related devices.
  • Gathers a variety of information from various sources for use by others in answering correspondence or preparing reports.
  • Prepares reports or drafts correspondence as directed.
  • Establishes and is responsible for the complete maintenance of filing systems, related responsibilities of accurate filing and ease of material retrieval.
  • Plans, assigns, reviews, and corrects the work of and trains lower level employees.
  • Performs basic computer skills, such as keyboarding, spreadsheets, and presentation software.
  • Opens, sorts, and distributes incoming mail and packages, as well as prepares outgoing mail and packages.
  • Maintains payroll and other related personnel functions.
  • Prepares bookkeeping and various cost center reports.
  • Performs basic secretarial functions, including but not limited to setting of appointments, answering phones, and note taking.
  • Performs any other duties as assigned.
