About The Position

The Secretary 2, Head Start Program, will provide clerical support to the various service areas of the Head Start Programs. DISTRICT EXPECTATIONS: All district employees must: · Demonstrate regular and predictable attendance. Physical presence is expected as part of a reliable and predictable pattern of attendance. · Support the district’s vision, mission, goals, and Strategic Plan. · Engage in civility, respect, and professionalism. · Maintain the professional knowledge and skills necessary to perform the essential duties and responsibilities of their positions.

Responsibilities

  • Verifies, codes, and/or classifies incoming materials and documents; returns incorrect material to senders for needed correction, and maintains follow-up procedures to ensure return of corrected materials.
  • Makes computations needed for reports, budgets, and records; condenses data for department use.
  • Operates various general office machines, including but not limited to adding machines, copy machines, calculators, computers, collators, decollators, call directories, and other telephone-related devices.
  • Gathers a variety of information from various sources for use by others in answering correspondence or preparing reports.
  • Prepares reports or drafts correspondence as directed.
  • Establishes and is responsible for the complete maintenance of filing systems, related responsibilities of accurate filing and ease of material retrieval.
  • Plans, assigns, reviews, and corrects the work of and trains lower level employees.
  • Performs basic computer skills, such as keyboarding, spreadsheets, and presentation software.
  • Opens, sorts, and distributes incoming mail and packages, as well as prepares outgoing mail and packages.
  • Maintains payroll and other related personnel functions.
  • Prepares bookkeeping and various cost center reports.
  • Performs basic secretarial functions, including but not limited to setting of appointments, answering phones, and note taking.
  • Performs any other duties as assigned.
