About The Position

The School Receptionist/Substitute Coordinator is a highly organized, friendly, and proactive first point of contact for our school community who ensures the smooth operation of daily classrooms. This role serves a dual purpose: managing the front desk by greeting visitors and handling calls and managing the substitute teacher process by securing coverage for teacher absences. The ideal candidate possesses strong interpersonal skills to interact with parents, students, and staff, along with the ability to manage last-minute scheduling changes effectively and efficiently. All employees are expected to demonstrate patience, humility, integrity, and kindness while performing the day-to-day duties of the role and to prayerfully work with administration, faculty, students, and families to develop and maintain a school which is distinctively Christian, academically excellent, and globally minded.

Requirements

  • High school diploma, or equivalent; some college, Associate’s degree or Bachelor’s Degree preferred
  • Three or more years of experience in an office support role; school experience is highly preferred
  • Proficient in the use of Google Workspace and other systems to administer absences and schedule substitutes; uses tools to make work happen effectively
  • Organized, steadfast, and approachable, and firm to follow and enforce policies and guidelines
  • Is deeply committed to a consistent daily walk with our Savior, Jesus Christ, through prayer, devotional study, and church membership
  • Demonstrates the spiritual maturity, academic ability, and personal leadership qualities to “train up a child in the way he should go” (Proverbs 22:6)
  • Recognizes the role of the parents as primarily responsible before God for their children’s education and commits to be a partner in that endeavor
  • Possesses the ability to work gracefully with faculty and school staff in a supporting role to encourage a unified and successful educational program
  • Cooperates with administrators, department chairpersons, and other school leadership to implement policies and procedures as they pertain to the daily operation of the School
  • Follow Matthew 18 principle in dealing with conflict with faculty and staff
  • Demonstrates the ability to accept and carry out responsibilities and make competent, professional decisions
  • Eagerly participates in professional development activities and the evaluation process with a desire to grow professionally, spiritually, and personally throughout the career in education
  • Maintains a professional personal appearance that is a Christian role model of cleanliness, modesty, good taste, and is in accordance with school policy

Responsibilities

  • Greet visitors, answer and route phone calls to appropriate personnel, manage security check-ins as needed, and provide general information to faculty/staff, students, and families
  • Proactively assign substitutes to fill both planned and unplanned faculty absences
  • Manage accurate records of staff absences, track time off requests within the HRIS, and notify payroll regarding substitute pay as needed
  • Work effectively with Human Resources to cultivate a comprehensive, active list of approved substitute teachers and assist with vetting/onboarding process for new substitutes
  • Perform general clerical tasks to support the overall school office function (sort mail, data entry, school event preparation, etc.)
  • Maintain clear, open, professional communication with team members and other school employees; and keep confidential information private
  • Exhibit a willingness to participate in the school community by helping to organize and attend events occasionally
