About The Position

St. Peter Faber Academy is seeking a School Office Manager who will serve as the central point of coordination for the daily operations of the school office and provide administrative support to school leadership, staff, students, and families. This position is responsible for maintaining efficient office procedures, managing communication and records, supporting student enrollment and attendance processes, and ensuring a welcoming and professional environment for all visitors and stakeholders. The School Office Manager plays a vital role in supporting the overall mission and smooth functioning of the school through strong organizational skills, attention to detail, professionalism, and effective communication.

Requirements

  • High School Diploma or equivalent.
  • At least 3 years in a similar role with comparable goals and responsibilities.
  • Ability to adapt to a changing environment and handle multiple priorities.
  • Excellent writing and analytical skills.
  • Proficient in Microsoft Office, with aptitude to learn new software and systems.

Nice To Haves

  • Associate or Bachelor’s Degree is preferred.

Responsibilities

  • Serve as the primary point of contact for students, families, staff, and visitors.
  • Answer and direct phone calls, emails, and other communications in a professional manner.
  • Maintain student records, attendance, enrollment, and other confidential documentation.
  • Assist with student registration and enrollment processes.
  • Coordinate schedules, appointments, meetings, and school calendars.
  • Support the Principal and administrative team with clerical and organizational tasks.
  • Manage purchasing processes, including ordering instructional materials, office supplies, and school equipment.
  • Process invoices, track expenditures, and maintain financial records.
  • Assist with budget-related documentation.
  • Coordinate with vendors and service providers regarding orders, billing, and account management.
  • Ensure compliance with school policies, procedures, and confidentiality requirements.
  • Monitor building access and maintain visitor sign-in procedures to support school safety.
  • Collaborate with faculty and staff to support the overall operations and mission of the school.
  • Perform additional administrative duties as assigned by school leadership.
