About The Position

Under the supervision of the Principal and Assistant Principal, the School-Based Athletic Director (AD) is responsible for coordinating all athletic programs within the assigned school. This role involves ensuring safety, understanding of rules, equity, and good sportsmanship in all athletic activities. The AD will supervise coaches, maintain knowledge of athletic regulations, and collaborate with school administration on staffing and professional development for coaches. Responsibilities include coordinating home contests, managing athletic equipment and facilities, developing coach handbooks, and overseeing game administration, including ticket sales, security, medical coverage, and concessions. The AD will also develop event schedules, ensure facilities are ready for play, coordinate tournaments, and manage postponements. Athlete eligibility, physical examinations, and medical insurance will be overseen. The role involves coordinating athletic functions like booster club meetings and banquets, promoting the school's athletic program, and ensuring facility compliance. Transportation for athletic events will be coordinated, and the AD will establish a professional rapport with students, staff, parents, and the community. They will serve as an advisor to student-athletes, assisting with college and scholarship applications, and act as a role model. Communication with the Superintendent and principals regarding athletic programs is key, as is following procedures for reporting potential substance abuse, child abuse, or medical emergencies. Budget planning assistance, submitting work orders for facility repairs, and protecting confidentiality are also required duties.

Requirements

  • Proven record as a teacher, coach, or administrator
  • Demonstrated knowledge of athletics and possesses the ability to develop, implement, monitor, and assess athletic programs
  • Demonstrated ability to work effectively with individuals from diverse backgrounds
  • Excellent oral and written communication skills
  • Graduation from an accredited undergraduate program with an emphasis in physical education, sports management, administration, school law, and school administration preferred
  • Master’s degree in education administration, supervision, or a related field preferred
  • Must hold or be eligible for licensure in the Commonwealth of Virginia
  • Minimum of five (5) years of successful, increasingly responsible experience in education (teaching and administration)
  • Experience in teaching, coaching, and administration

Responsibilities

  • Work cooperatively with principal, coaches, parents, and student-athletes to ensure safety, understanding of rules for participation and competition, equity, and good sportsmanship
  • Supervise coaches and offer constructive feedback as needed; ensure all coaches are aware of Danville Public Schools (DPS), Virginia High School League (VHSL), and State rules applicable to their sport and the expectations of coaches
  • Hold monthly meetings with members of the coaching staff to discuss District and school policies concerning the athletic program; coordinate the attendance of coaches at other meetings, clinics and workshops, as required
  • Maintain a high level of knowledge regarding emerging athletic rules and regulations and changes in the laws and case law pertaining to athletics in Virginia
  • Assist the principal in filling vacancies on the athletic staff
  • In collaboration with principal and assistant principal, evaluate coaches and provide opportunities for professional development activities for coaches and their assistants
  • Coordinate the preparation for all home contests and events; supervise or direct cleanup after contests
  • Attend all home games, meets, and contests, and attend away games when possible, or appoint a representative to act in behalf of the AD
  • Maintain an inventory of all athletic uniforms and equipment and be responsible for submitting a requisition for all athletic equipment and supplies, as needed
  • Coordinate the maintenance and use of facilities and fields and the reconditioning and storage of athletic equipment
  • Develop and maintain a local handbook for coaches and assistant coaches
  • Provide for the proper administration and supervision of all athletic contests, to include but not limited to: Selling and taking of tickets and all related functions, to include assigning and supervising gatekeepers and workers for all athletic contests and arranging for change, lock boxes, tickets, stamps, etc.
  • Arranging for sufficient police/security coverage
  • Arranging for medical and ambulance coverage
  • Providing seating facilities for teams and spectators
  • Providing necessary facilities for the visiting team
  • Arranging for payment of game officials
  • Supervising concessions at athletic events
  • Develop and print athletic event schedules and game programs for all sports
  • Examine all playing arenas before contests to see if they are available and ready for play; obtain playing arena when there is a need for practice or to use as game site
  • Establish and monitor procedures that create and maintain attractive, organized, functional, healthy, clean, and safe facilities
  • Coordinate all tournaments and post-season games with the principal
  • Coordinate with the principal any postponement of contests because of weather or other factors
  • Schedule physical examinations for all athletes and check that all athletes are properly covered by medical insurance
  • Work with coaches and the principal to ensure the eligibility of each athlete is certified prior to participation
  • Coordinate all athletic functions such as booster club meetings, athletic banquets, pep rallies, athletic award assemblies, and other athletic meetings
  • Serve as a booster and promoter of the school’s athletic program
  • Regularly inspect all department facilities and grounds to ensure compliance with all applicable codes and regulations
  • Coordinate transportation for all athletic events requiring travel using procedures established by the DPS Department of Transportation Services
  • Establish a professional rapport with students and with staff that earns their respect; maintain visibility with students, staff, parents, and the community, attending practices and events regularly
  • Assist student athletes as an advisor and assist them in finding colleges and scholarships, and completing college applications as applicable
  • Serve as a role model for students, dressing professionally, demonstrating good sportsmanship, the importance and relevance of learning, accepting responsibility, and pride in the education profession
  • Communicate with the Superintendent and with the principals regularly about the needs, successes, and general operation of the athletic programs; recommend policies and procedures to promote a healthy and supportive climate for athletics
  • Notify immediately the principal and other appropriate personnel and agencies, and follow established procedures when there is evidence of substance abuse, child abuse, child neglect, severe medical or social conditions, potential suicide or individuals appearing to be under the influence of alcohol, controlled substances, or anabolic steroids
  • Provide assistance in planning the athletic budget at assigned school
  • Submit work orders for necessary facility repairs or routine maintenance
  • Protect confidentiality of records and information gained as part of exercising professional duties and use discretion in sharing such information within legal confines
  • Perform other related duties as requested
