About The Position

The Scholarship Programs Coordinator is accountable for the daily operations and coordination of all scholarship processes at CMU. This includes managing institutional, donor, merit, and external scholarship funds by administering applications, awarding scholarships, and monitoring eligibility and compliance. The role requires collaboration with stakeholders such as the CMU Foundation, Admissions, and academic departments to ensure scholarship processes align with institutional policies and federal financial aid regulations. Other duties may be assigned as needed.

Requirements

  • Bachelor’s degree from an accredited institution.
  • Minimum of two years of experience in student or financial services, funding administration, or database management.
  • Experience in demanding customer service environments requiring attention to detail.
  • Knowledge of financial aid policies, particularly those relating to scholarship administration.
  • Strong project management skills to oversee multiple complex processes.
  • Capacity to handle peak workloads during high-demand periods.
  • Exceptional communication and interpersonal skills for counseling, presentations, and stakeholder collaboration.
  • Proficiency in Award Management, Ellucian Banner, (or similar software) and standard office software.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to effectively present information and respond to questions from top management, public groups, and board of directors.
  • Applicant must be able to verify U.S. employment eligibility.

Nice To Haves

  • Two years of experience in financial aid.
  • Bilingual fluency in Spanish.

Responsibilities

  • Managing and awarding scholarships using Banner, and Award Management (Blackbaud).
  • Preparing and marketing scholarship applications.
  • Overseeing scholarship committees and reviewers.
  • Monitoring compliance with scholarship and other financial aid eligibility criteria.
  • Acting as the lead liaison between Financial Aid, Accounting, Admissions, and the CMU Foundation.
  • Supervising assigned student employees.
  • Timely and accurate application review, awards, and fund reconciliation.
  • Ensuring adherence to institutional, state, federal and external scholarship policies.
  • Maintaining transparent and effective communication with students regarding scholarships.
  • Fostering positive relationships with internal and external partners.
  • Identifying and implementing strategies to enhance scholarship efficiency.
  • Completion of annual scholarship awards within deadlines.
  • Accuracy in reconciling and awarding scholarship funds.
  • Positive feedback from students, staff, and faculty regarding the scholarship process.
