About The Position

The Scheduling Manager is responsible for overseeing and coordinating the scheduling operations for Hospice Aides, per diem Hospice Aides, Nursing Float positions, per diem nurses. This role ensures optimal staff coverage to support high-quality, patient-centered hospice care while promoting efficiency, responsiveness, and service excellence. The Scheduling Manager provides leadership and direct supervision to the Scheduling Coordinators and works closely with clinical leadership to align staffing resources with patient needs, regulatory requirements, and organizational priorities.

Requirements

  • Minimum of 2 years of scheduling experience in a healthcare setting
  • Proficiency with Outlook, Electronic Medical Records (EMR), and scheduling technologies
  • Strong organizational, problem-solving, and communication skills
  • Demonstrated ability to manage competing priorities in a fast-paced environment

Nice To Haves

  • Scheduling experience in home health or hospice care
  • Experience supervising or leading scheduling or administrative staff
  • Understanding of hospice operations, clinical workflows, and patient-centered care models

Responsibilities

  • Oversee and manage the scheduling of Hospice Aides, per diem Hospice Aides, Nursing Float positions, per diem nurses to ensure timely, appropriate coverage.
  • Supervise, mentor, and support Scheduling Coordinators, fostering accountability, accuracy, and collaboration.
  • Ensure schedules align with patient acuity, census changes, staff skill mix, productivity expectations, and coverage standards.
  • Respond proactively to staffing changes, absences, and urgent care needs to maintain continuity of patient care.
  • Collaborate closely with the Clinical Director and clinical leadership team to anticipate staffing needs and resolve scheduling challenges.
  • Utilize and maintain advanced scheduling tools, Outlook, and Electronic Medical Records (EMR) systems to ensure accurate documentation and communication.
  • Monitor scheduling patterns, trends, and opportunities for improvement to enhance efficiency and staff satisfaction.
  • Ensure compliance with organizational policies, labor regulations, and hospice standards of care.
  • Promote a culture of service excellence, respect, and open communication with clinical staff.
