About The Position

The Scheduling Lead assists in the coordination of the Patient Procedure/Surgical schedule, including the coordination of multiple highly complex appointments across multiple departments, programs, and specialties. This role requires extensive knowledge in scheduling for the area they support and serves as the go-to resource for the team. The Scheduling Lead is responsible for insurance verification, ensuring pre-authorization, and acts as the liaison between providers and patients. They develop the master schedule for procedures and coordinate all case resource needs. This position interacts directly with patients and operates in a high call volume environment. Key responsibilities include accurately scheduling procedures, documenting correct diagnoses and referring physicians, and pre-registering patients via the assigned tracking system. The role involves obtaining correct and thorough insurance benefits, employer/guarantor information, and patient demographics. The Scheduling Lead must accommodate requests for STAT/same-day add-on exams from patients and physician offices. Furthermore, the Scheduling Lead provides updates to patients and physicians on the timing and status of authorizations. Once pre-authorization is complete and the appointment is scheduled, they provide patients with scheduling options/itineraries. They maintain calendars for meetings and patient consultations, simulations, and follow-up appointments for physicians, acting as a resource for Medical Clinics. The role also involves registering new patients in hospital systems and obtaining authorizations for diagnostic studies, including faxing necessary medical records. In addition to direct patient and provider interaction, the Scheduling Lead provides training and guidance to the Scheduling Specialist team, troubleshooting and problem-solving to proactively correct discrepancies and improve team performance. Local travel may be required. The position also entails participation in continuous quality improvement processes, maintaining a working knowledge of departmental standard operating procedures, including specialized instrumentation, Quality Control requirements, and preventative maintenance. Confidentiality must be maintained, and other duties as assigned will be performed.
