Requirements

  • Minimum of two years’ administrative experience.
  • Experience in logistics preferred.
  • Proficient in the use of Microsoft Office.
  • Experience with Human Resources Management systems advantageous.
  • Able to obtain Non-Violent Crisis Intervention certification.
  • You enjoy working in a team environment and work effectively with others.
  • You are detail-oriented, organized, and have great time management skills.

Responsibilities

  • Manages location schedules and fulfills all tasks associated with this including, but not limited to, updating master templates and schedules, vacancy coverage overtime requests and on-call support.
  • Ensures location schedules are accurate, available, and posted three months in advance.
  • Completes and remains updated on tracking of sick and shift cancellation notifications.
  • Communicates sick and shift cancellation notifications to Location Supervisors and Program Managers to follow up.
  • Liaises with Casual Team Supervisor to promote effective utilization of the Casual Support Staff.
  • Cultivates relationships with DASCH staff to foster a team first approach to staffing all locations while minimizing overtime accruals.
  • Identifies and prioritizes must fill vacancies, reallocating scheduled staff as necessary.
  • Maintains awareness of location specifics and support requirements for all locations.
  • Identifies and completes job postings based on the needs of the location and current staff schedule.
  • Maintains location master templates noting changes to contracted shifts and shift structure.
  • Reviews, analyzes and actions all job posting requests.
  • On a rotational basis carries the Staffing Support Line Cell Phone.
  • Updates Program Assistants and Payroll (as applicable) with payroll changes as they occur.
  • Approves, denies all overtime requests.
  • Approves, denies shift change requests.
  • Categorizes and actions all communication to the Shift Email daily.
  • Updates, reviews and distributes shift vacancies to staff.
  • Provides end of day, and end of week update emails to staffing line support designate when applicable.
  • Manages and updates staff schedule to allow clear expectations of employee attendance.
  • Finds and documents necessary coverage for staff absences.
  • Leverages new technology as available to enhance personal and team efficiency.
  • Reviews and processes time off requests through UKG in accordance with policies.
