About The Position

Advanced Pediatric Associates is hiring a full-time Scheduling Coordinator in Aurora, CO. This role is ideal for candidates with experience in medical scheduling, medical records, patient coordination, healthcare administration, or customer service in a medical office setting. The Scheduling Coordinator supports patients, families, providers, and clinic staff through appointment scheduling, patient communication, medical records coordination, insurance and demographic verification, and administrative support in a fast-paced pediatric healthcare environment. This full-time position is based at our Administrative Office in Aurora, CO and offers a 4-day work week with occasional half-day Saturday shifts.

Requirements

  • High School Diploma or equivalent
  • Minimum one year of experience in medical records, scheduling, customer service, or a related healthcare role
  • Experience working with electronic medical records (EMR) systems
  • Knowledge of HIPAA, PHI, and confidentiality guidelines
  • Strong technical and computer skills, including Microsoft Office and Adobe
  • Excellent communication, organizational, and customer service skills
  • Ability to manage multiple phone lines and respond promptly to inquiries
  • Ability to accurately enter and update patient demographic and insurance information
  • Strong attention to detail and ability to prioritize duties and meet deadlines
  • Ability to maintain professionalism and composure in difficult situations

Responsibilities

  • Schedule, reschedule, and cancel patient appointments
  • Manage phone calls, emails, faxes, mail, and patient inquiries
  • Process medical records and Release of Information (ROI) requests
  • Maintain HIPAA compliance and patient confidentiality
  • Verify and update patient demographic and insurance information
  • Accurately document information within EHR/EMR systems
  • Communicate professionally with patients, families, providers, and team members
  • Support daily clinic and administrative operations
  • Prioritize tasks and meet deadlines in a fast-paced environment
