About The Position

The Scheduling Coordinator is responsible for developing and maintaining the doctor's schedule to meet practice goals. This role involves managing patient appointments, handling incoming calls, maintaining various patient lists to ensure follow-through, greeting and checking patients in and out, educating patients on treatment needs and plans, and supporting new patient growth through marketing initiatives. The coordinator also handles financial arrangements, posts payments, manages patient referrals, and addresses concerns from doctors, patients, and employees. General office duties are also part of the role.

Requirements

  • Experience in developing and maintaining doctor schedules.
  • Proficiency in handling incoming calls, including new patient inquiries and emergencies.
  • Ability to manage unscheduled lists, ASAP lists, and treatment pending lists.
  • Skills in greeting and checking patients in and out.
  • Experience in educating and consulting patients on treatment needs and plans.
  • Knowledge of marketing and promotional programs for patient growth.
  • Experience with documenting patient treatments and financial transactions.
  • Ability to make pre-treatment financial arrangements.
  • Proficiency in posting payments.
  • Understanding of office procedures for patient referrals.
  • Capability to respond to concerns and inquiries from doctors, patients, and employees.
  • Willingness to perform general office duties.

Responsibilities

  • Develops and maintains doctor schedule to meet practice goals.
  • Answers incoming calls including new patient calls, emergencies, scheduling patient appointments, requesting records, and follow up.
  • Manages unscheduled list, asap list, treatment pending list, to ensure patient follow through to meet scheduling goals.
  • Greets and checks patients in and out for and after treatment.
  • Educates and consults patients discussing treatment needs and presenting treatment plans.
  • Increases and stimulates new patient growth by supporting marketing and promotional programs, to include recall cards, continuing care calls, referral letters and gifts, and working with referrals.
  • Documents patient dental treatments and financial transactions, to include signing of financial arrangements, prepayments for large cases, financing, and charges collection.
  • Makes pre-treatment financial arrangements with patients.
  • Posts Payments.
  • Follows office procedures for patient referrals.
  • Responds to doctor, patient and employee concerns and inquiries and seeks assistance when necessary.
  • Performs general office duties and other duties as required.
