About The Position

Fence Direct is seeking a Scheduling Coordinator to manage the entire installation scheduling process, from permit approval to the day of the crew's arrival. This role involves handling real-world challenges such as crew call-outs, material shortages, and weather disruptions, ensuring minimal impact on the customer and maintaining smooth operations. The coordinator will be responsible for proactive problem-solving and clear communication to keep all parties informed and operations on track.

Requirements

  • Fluent in English and Spanish.
  • 2+ years in scheduling, dispatch, service coordination, or high-volume customer service.
  • Ability to work through constant interruption without losing track of scheduled tasks.
  • Calm demeanor under pressure, especially when dealing with issues.
  • Highly organized with the ability to manage numerous moving jobs within a system.
  • Solid computer skills, comfortable using CRM and scheduling software.

Nice To Haves

  • Experience in fencing, HVAC, plumbing, roofing, or other trade and home services dispatch.
  • Experience with permit and inspection scheduling.
  • Familiarity with Housecall Pro software.
  • Experience coordinating field crews.

Responsibilities

  • Schedule every install to the right day, time slot, and installer.
  • Schedule permit inspections when required.
  • Confirm with the warehouse that materials are pulled and available ahead of the install date.
  • Flag conflicts and shortages before they impact a scheduled job.
  • Coordinate with the warehouse on order priority for jobs nearing their date.
  • Answer incoming calls promptly and return missed calls quickly.
  • Update active customers in the scheduling stage at least once a week with crew assignment, material confirmation, and date lock.
  • Communicate calmly and accurately about any delays.
  • Route sales-related questions to the appropriate personnel.
  • Field and document scheduling issues such as installer no-shows, crew reassignments, and material delays.
  • Coordinate rescheduling around crew, material, and weather constraints.
  • Serve as the primary point of communication between installers, customers, and sales representatives for job-related issues.
  • Escalate any deviations from the signed contract (scope, location, material changes) before work proceeds.
