About The Position

A growing home care agency is seeking a highly organized and detail-oriented Scheduling Assistant to support the daily operations of its scheduling department. This role plays an important part in ensuring continuity of care by assisting with schedule maintenance, staffing coordination, client communication, and administrative support. The Scheduling Assistant helps monitor open shifts, communicate scheduling changes, update employee availability, and support scheduling coordinators with staffing needs. The ideal candidate thrives in a fast-paced environment, enjoys problem solving, and can effectively balance multiple priorities while maintaining a high level of professionalism and customer service.

Requirements

  • High school diploma or equivalent required
  • Strong organizational skills with the ability to manage multiple priorities simultaneously
  • Excellent verbal and written communication skills
  • Ability to remain calm and professional when handling urgent scheduling situations
  • Strong attention to detail and accuracy in documentation and data entry
  • Proficiency with Microsoft Office, Microsoft Teams, and general computer applications
  • Ability to maintain confidentiality and protect sensitive client and employee information

Nice To Haves

  • Previous experience in healthcare, scheduling, customer service, administrative support, or office operations preferred
  • Experience working with scheduling software, workforce management systems, or electronic medical records (EMR) preferred

Responsibilities

  • Monitor daily schedules and assist with filling open shifts due to call-outs, schedule changes, or staffing needs
  • Ensure open shifts are communicated and follow up on staffing efforts as directed
  • Notify clients of schedule changes and assist with arranging alternate coverage when necessary
  • Answer incoming phone calls and route inquiries to the appropriate team member
  • Monitor and manage agency communication channels and direct messages appropriately
  • Enter and maintain employee availability, schedule restrictions, and workforce information within scheduling systems
  • Maintain accurate client and employee records in scheduling software and electronic systems
  • Document scheduling changes, communication notes, and requests in a timely manner
  • Update communication platforms with new client and employee information as needed
  • Conduct outreach regarding holiday availability and scheduling needs
  • Collaborate with scheduling coordinators and office staff to resolve staffing challenges and scheduling conflicts
  • Support compliance with agency policies, client care requirements, and applicable regulations
  • Maintain inventory levels for office and orientation supplies
  • Provide administrative and clerical support to scheduling and operations teams
  • Assist with special projects and other duties assigned by management
