About The Position

The Scheduling Assistant at Evergreen plays a key role in coordinating staffing for long-term care, assisted living, and independent living communities. This role ensures coverage for planned and unplanned vacancies while delivering exceptional service and promoting a culture of safety, wellness, and respect. This is a permanent part-time position, working 32 hours per week, with hours from 13:00 to 18:30. The Scheduling Assistant is responsible for filling various types of shifts in compliance with collective agreements and established policies, managing scheduling systems, maintaining accurate records, and collaborating with leaders and team members to ensure appropriate staffing coverage. The role emphasizes communication, accuracy, and service to support the mission of fostering vibrant, person-directed communities.

Requirements

  • Minimum Grade 12 education
  • Minimum one year of experience in scheduling, preferably in long-term care or healthcare.
  • Experience interpreting and applying collective agreements
  • Proficient in Microsoft Word, Excel, and Outlook
  • Strong organizational skills and attention to detail.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Excellent communication and interpersonal skills.

Responsibilities

  • Coordinate and adjust schedules based on coverage needs, availability, and scheduling rules
  • Fill vacancies related to leaves, workload increases, and short calls
  • Maintain ongoing communication with team members and leaders
  • Enter and update data in computerized scheduling and timekeeping systems
  • Audit schedules and timecards for accuracy and make necessary corrections
  • Compile reports and scheduling statistics as requested
  • Foster a welcoming and respectful environment for all team interactions

  • Participate in professional development and maintain working knowledge of safety protocols
