About The Position

Responsible for patient scheduling, pre-registration and insurance authorization for the outpatient departments. This role involves responding to calls from patients, physicians, and other healthcare professionals, determining the urgency of situations, and suggesting appropriate referrals. The Scheduler will answer telephones, prioritize, screen, and redirect calls, answer questions, handle routine matters, and take messages. A key responsibility is scheduling all appointments for patients using the SMS scheduling system and ensuring these goals are met. The role also includes mailing appointment confirmation letters, providing information about tests and necessary preparation if the appointment is more than three days out. Completing all types of outpatient registrations accurately and professionally is essential, as is obtaining necessary information from patient health insurance or managed care identification cards. Maintaining forms in printers, which may involve lifting or carrying, and possessing knowledge of all software and hardware computerized equipment are also part of the duties. The Scheduler will work with individual physician offices to obtain correct information for scheduling appointments. The position may involve performing work of equal or higher skill and responsibility as directed. Attending all required safety training programs and understanding responsibilities related to general safety, department/service safety, and specific job-related hazards is mandatory. Following hospital exposure control plans for bloodborne and airborne pathogens is required. Demonstrating respect and regard for the dignity of all individuals and promoting effective working relations within and between departments are crucial for creating a professional and courteous environment. Additionally, the role includes managing the TYSABRI Outreach: Unified Commitment to Health (TOUCH) program through the Biogen website.

Requirements

  • High School Diploma or equivalent
  • One year of experience in healthcare setting-prefer registration/scheduling, unit secretary or medical billing
  • 30 WPM typing
  • Customer service experience
  • Telephone experience

Nice To Haves

  • One year of secretarial training or equivalent experience
  • Experience with one Contact, Epic, Outlook, 3rd party validation insurance websites and medical terminology

Responsibilities

  • Responds to calls including patients, physicians, physicians’ office staff, peers, and determines the urgency of the situation.
  • Suggests appropriate referrals.
  • Answers telephones for department, prioritizes, screens, and redirects calls.
  • Answers questions, handles routine matters and takes messages.
  • Schedules all appointments for patients on the SMS scheduling system and works with the manager to meet these goals.
  • Will mail each patient a letter to confirm their appointment, inform patient about the test(s) and discuss the necessary preparation information if scheduled appointment is more than three (3) days out.
  • Completes all types of outpatient registrations in a professional, accurate, customer-oriented and timely manner.
  • Obtains information from patient health insurance or managed care identification card.
  • Maintains forms in all printers at all times, which may require lifting or carrying cases of forms.
  • Must have knowledge of all software and hardware computerized equipment.
  • Works with individual physician offices and their office managers on obtaining correct information for scheduling appointments.
  • Performs work of equal skill and responsibility as directed.
  • May also perform work of a higher level in preparation for increased responsibilities or when the department requires.
  • Attends all required safety training programs and can describe his or her responsibilities related to general safety, department/service safety, and specific job-related hazards.
  • Follows the hospital exposure control plans/blood borne and airborne pathogens.
  • Demonstrates respect and regard for the dignity of all patients, families, visitors, and fellow employees to ensure a professional, responsible, and courteous environment.
  • Promotes effective working relations and works effectively as part of a department/unit team inter- and intradepartmentally to facilitate the department’s/unit’s ability to meet its goals and objectives.
