About The Position

This position is per diem and requires availability on Wednesdays from 6:30 am to 3 pm. The primary responsibility is to answer telephones, identify and meet patient healthcare needs, perform call triaging, and route calls internally. The role involves scheduling appointments using scheduling software, confirming or rescheduling appointments with patients, and documenting calls, issues, and resolutions. Additionally, the scheduler will perform new patient registration and send new patient packets.

Requirements

  • High school graduate or equivalent.
  • Proficient computer skills required.
  • Demonstrate the ability to properly use the phone and computer systems, fax machines, photocopies, scanners, printers and other business machinery.
  • Excellent customer service skills.
  • Maintains a cooperative professional working relationship with staff including but not limited to medical staff, and other departments, as well as outside agencies, community members and our patients.

Nice To Haves

  • Previous experience working in a clinical setting

Responsibilities

  • Answers incoming calls and routes calls internally in a professional manner.
  • Manages calls in a personal, systematic and organized manner.
  • Performs registration for new patients and updates registration information for established patients, as well as sending welcome packets to new patients.
  • Schedules, reschedules, cancels and verifies patient appointments per Clinic guidelines.
  • Responds to customer inquiries and provides general information to callers regarding GCFH services.
  • Directs patient to appropriate clinic person based on content of message, identifying and escalating priority issues.
  • Works with providers, nursing staff, and other GCFH Department staff to efficiently and effectively address patient needs.
  • Accurately documents phone calls and information provided to callers.
  • Assesses computerized medication log and processes medication request as needed.
  • Consults with the patient's provider or nursing staff as needed.
  • Assists with completing administrative tasks generated by supervisor.
  • Acts as a customer-service representative, taking appropriate steps to meet the needs of the callers as well as improve relations with referred providers, specialists, agencies, and other in order to ensure quality care to patients.
  • Maintains and addresses automated prescription line requests and Scheduling Center voicemails.
  • Completes other duties as assigned by supervisor or designee.
