About The Position

The Scheduler III functions as a liaison between the physicians, patients, office and hospital testing staff in scheduling patient office visits, testing, procedures and surgeries. This role utilizes patient information and physician assessment to identify patient's scheduling needs, prepares written orders for procedures, and collaborates with physicians, various physician offices, surgical/procedure labs, and ancillary departments for scheduling of procedures to ensure alignment for current, future/multiple procedures as it relates to a specific protocol. The Scheduler III also collaborates with clinical staff for timing off procedure/surgery scheduling for medication adjustment, schedules complex office visits by collaborating with clinical staff to ensure quality timeframes are met per clinical protocols, provides pre-procedure education, conducts and ensures prior authorization, and schedules post-procedure office visits and/or testing. This role is responsible for creating and managing an efficient schedule to assist maximizing utilization and physician productivity, acting as a liaison between physicians, patients, referring physicians, and members of the service line. The Scheduler III independently problem solves to identify areas of opportunity to enhance the customer experience, anticipates patient and physician scheduling needs, and provides proactive communication for continuity and delivery of quality care. The role demonstrates behaviors which constitute service and customer-focused relationships, maintains confidentiality of all patient information, communicates pertinent clinical/scheduling information to physicians, office staff, and patients, and coordinates multiple tests, procedures, and physicians when scheduling cases, as well as completes pre-procedure tasks. The Scheduler III schedules complex procedures and surgeries following approved Medical Group, hospital, and Patient Care Services policies and procedures and educates patients on preparation instructions, which may involve coordinating with several departments and/or providers.

Requirements

  • High school graduate or equivalent
  • Three years experience of scheduling experience for physician practice or hospital/ancillary departments
  • Customer service oriented
  • Effective Communication Skills
  • Knowledge of Microsoft Office and scheduling software

Responsibilities

  • Utilizes patient information and physician assessment to identify patient's scheduling needs.
  • Prepares written orders for procedures.
  • Collaborates with physician, various physician offices, surgical/procedure labs, and ancillary departments for scheduling of procedure in order to ensure alignment for scheduling for current, future/multiple procedures as it relates to a specific protocol.
  • Collaborates with clinical staff for timing off procedure/surgery scheduling for medication adjustment as it relates to a specific protocol.
  • Schedules complex office visits by collaborating with clinical staff to ensure quality timeframes are met per clinical protocols.
