About The Position

KHAITE is seeking a highly organized and proactive Temporary Sample & Showroom Assistant to join their NYC HQ team. This role will report to the PR Manager and will be responsible for supporting the movement and coordination of product samples across the business and the coordination of showroom events. The assistant will act as a liaison between PR, brand, sales, and facilities, ensuring timely and accurate product placement and smooth showroom and shoot production processes. The ideal candidate is a natural coordinator with clear communication skills, meticulous attention to detail, and a passion for behind-the-scenes operations. Prior experience in a sample room, showroom, or production environment at a fashion brand or PR agency is preferred.

Requirements

• 1–3 years of experience in a sample coordination, showroom, or fashion production role; recent graduates with strong internship experience will be considered.
• Familiarity with luxury fashion brand standards and a genuine interest in the industry.
• Exceptional organizational skills with rigorous attention to detail and follow-through.
• Comfort with international carnet specifications and familiarity with large-format sample requests.
• Ability to manage competing priorities and deadlines across multiple teams simultaneously.
• Clear, proactive communicator - comfortable working cross-functionally with PR, sales, creative, and operations.
• Proficiency in Microsoft Office + Google Suite.
• A collaborative, low-ego attitude with a strong sense of ownership over day-to-day operations.
• Physical ability to support showroom setup, including moving racks, handling garments, and general production tasks.
• Occasional international travel.

• Experience with sample tracking or asset management tools a plus.

Responsibilities

• Serve as the central point of coordination for all sample movement across departments, including PR, brand, e-commerce, sales, and facilities.
• Track sample locations, return dates, and upcoming needs using the brand's sample management system.
• Manage logistics for sample trafficking, including messenger coordination and domestic/global shipments via carriers like WorldNet, DHL, and UPS.
• Monitor the condition of samples, arranging for repairs, steaming, pressing, and dry cleaning as needed.
• Process inbound and outbound sample requests promptly, ensuring product is pulled, prepped, and delivered on schedule.
• Follow up on outstanding samples from internal teams.
• Identify and flag conflicts in sample availability, assisting teams with prioritization.
• Support seasonal inventory and archive reconciliation to ensure sample set accuracy.
• Coordinate showroom logistics with Visual Merchandising, PR, Brand, Sales, and Facilities teams for scheduling and priorities.
• Assist with the setup, organization, and breakdown of the showroom for market appointments, press days, and pre-runway styling sessions.
• Provide on-site support during market and press visits to ensure a seamless experience for guests.
• Manage sample trafficking for e-commerce photo shoots, coordinating with digital and brand teams.
• Track sample whereabouts during shoot days and promptly report any discrepancies, missing items, or damage.
