About The Position

The Sample Inventory and Logistics Associate is responsible for all packages coming into and leaving the B2S Life Sciences workplace. This includes packaging and labeling of all outgoing packages, and unpacking and checking in of all incoming packages. The role requires reliable on-site presence during standard business hours (0830 to 1630) and effective communication regarding any unavailability. Key responsibilities include entering received materials into an inventory management system, tracking valuable information such as expiration dates, pulling and preparing samples for internal or external distribution, and loading packing slips and safety data sheets into appropriate systems. The associate will also aliquot materials for use or storage, maintain accurate shipping and receiving documentation, and work with departments to reconcile deliveries. This role involves unpacking, examining, and verifying shipments against manifests, ensuring compliance with SOPs for labeling, and managing temporary storage of shipments, including hazardous goods. Damaged items will be rejected, shortages recorded, and discrepancies communicated with the Purchasing Group. Defective materials or questionable conditions are to be reported to the Department Supervisor. The associate will maintain an adequate supply of shipping materials and order them as needed. Preparation of outgoing shipments, including programming dataloggers, and providing quality control for shipment activities are also key duties. The role requires performing all computer functions using internal and external software for shipping and tracking, collecting and organizing mailings, and completing final inspections per shipping instructions and SOPs. Updating and maintaining logistics policies and procedures, and ensuring the work area and equipment are clean, orderly, and safe are essential. The associate will provide accurate and timely information and communication with departments, and maintain a working understanding of export, import, and domestic & foreign customs regulations, including IDOT and IATA. Equipment maintenance, including printers, label makers, temperature-controlled cabinets, and shipping scales, is also part of the role. Other duties as assigned.

Requirements

High school diploma or general education degree (GED); and one-year related experience and/or training; or equivalent combination of education and experience is required.
International Air Transport Association (IATA) and IDOT training is required and may be provided upon hire.
Attention to detail.
Computer software skills including Microsoft Office Suite, Salesforce, SharePoint, and Paylocity
A working knowledge of shipping carriers including FedEx, UPS, etc.
A working knowledge of Harmonized System (HS) Codes for exporting and the documentation needs for each shipment
The ability to ensure accurate and timely information gathering and communication with each department and regulatory body.
The ability to maintain confidentiality is required.
The ability to stay up to date with all domestic and international regulations related to shipping company products to include ensuring on-time and accurate submission and filing of required paperwork is required.
A working knowledge of shipping and transportation of hazardous good storage and handling of hazardous good
Understanding of laboratory safety controls including engineering controls, administrative controls, and PPP as elements. These three categories should be used in a layered approach to minimize employee exposure to hazardous chemicals.

Responsibilities

Entry of material received from internal and external customers into inventory management system for accurate tracking.
Inputting and tracking of valuable information in inventory management system to ensure compliance of processes and procedures. i.e., Expiration dates
Pull samples from inventory and prep for internal delivery or external shipments.
Load pertinently packing slips and safety data sheets into appropriate systems.
Aliquot material in preparation of internal use or long-term storage
Maintains accurate documentation of materials shipped and received.
Works with each department to reconcile all deliveries ensuring accurate receipt of shipment.
Unpacks, examines, verifies against manifest(s)
Ensures compliance with B2S SOP for labeling, places shipment(s) into temporary storage (or appropriate storage location for hazardous goods) and records all incoming shipments.
Rejects damaged items, records shortages, and corresponds with Purchasing Group to rectify damages and shortages.
Reports defective materials or questionable conditions to the Department Supervisor.
Maintains inventory and adequate supply of shipping materials and orders supplies, as needed.
Prepare appropriate packing for outgoing shipments, including programming dataloggers, etc.
Provides quality control (QC) for shipment activities.
Performs all computer functions using internal and external software to ship and track incoming and outgoing shipments.
Collects and organizes mailings and shipments.
Completes final inspections as per the shipping instructions and all relevant SOPs.
Updates and maintains logistics policies and procedures.
Maintains the work area and equipment in a clean and orderly condition and follows prescribed safety regulations.
Provides accurate and timely information and communication with each department.
Maintains a working understanding of export, import, and domestic & foreign customs regulations including IDOT and IATA.
