About The Position

Oversees the day-to-day operations of a team of inventory and/or material management associates at customer facilities, ensuring operational objectives are met through effective supervision and prioritization of tasks. Sets daily goals and reviews team performance to align with broader operational plans and achieve desired results. Identifies opportunities for improvement, makes adjustments to workflows, and recommends enhancements to work methods to increase efficiency and the effectiveness of inventory and materials management services provided to customers. Focuses on addressing operational problems and issues, requiring analysis of data and relevant factors to develop practical solutions. Communicates regularly with internal team members and stakeholders, as well as external contacts such as vendors, to ensure smooth operations, foster collaboration, and address the needs of all parties involved. The purpose of the role is to maintain an accurate and compliant inventory of samples and to oversee all aspects of sample handling. This includes ensuring that samples are received, registered, labelled, stored, tracked, dispatched, returned, and/or disposed of in accordance with organisational and regulatory requirements. The role relies on the effective use of specialised IT systems and databases, which are essential for maintaining data integrity and traceability. Close interaction and communication with internal stakeholders and customers is a key component of the position.

Requirements

  • High school diploma or equivalent required
  • 5-7 years of experience in laboratory services, warehouse, logistics, or inventory management operations
  • 2-3 years of formal supervisory experience with direct reports and full performance management responsibility
  • Documented experience leading operational improvement initiatives
  • Experience in a client-embedded services or regulated facility environment
  • Proficiency with inventory management systems (SAP, Workday, LIMS, or equivalent) including reporting and analytics modules
  • Intermediate Excel skills including pivot tables, lookup functions and basic data analysis
  • Ability to analyze operational data and communicate findings to non-technical audiences
  • Working knowledge of continuous improvement methodologies (Lean, Six Sigma)
  • Valid driver's license required

  • Higher Education degree in supply chain, business, or life sciences preferred

Responsibilities

  • Perform routine sample inventory operations, including sample receipt, registration, (re)labelling, tracking, dispatch, and disposal using the Laboratory Information Management System (LIMS).
  • Provide data manifests and (re) label samples as applicable
  • Track all work-in-progress using specialised informatics systems as well as databases, so that there is a common understanding of status at all times
  • Perform all work in accordance with global standards, SOPs, Good Clinical Practice and legal requirements
  • Supports a team and works collaboratively with project managers to ensure the efficient relay of information and communication of data
  • Maintains a well-developed understanding of the sample inventory and uses a broader functional knowledge of the procedures to develop new processes or improve existing procedures within the department, where needed
  • Assesses and reports data or issues, with little or no guidance, in a clear and concise manner
  • Provides technical instruction to the team and allocates administrative work where possible
  • Ensures compliance with global HBS standards and legal requirements
