Must be strong in Microsoft applications and be able to work well with others in a fast-paced & high-volume environment.

Requirements

  • Associate Degree in Business or related field
  • 3-5 years of administrative/sales support experience
  • Strong computer skills in Microsoft Word, Excel, PowerPoint, Outlook, and CRM databases
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret graphs.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Mental stamina for problem solving and prioritizing multiple tasks.

Nice To Haves

  • HVAC, Mechanical Contracting, Engineering or Construction industry experience a plus

Responsibilities

  • Responsible for data entry and maintenance of job information in CRM database including generating and distributing the weekly reports to the Sales team
  • Order management: prepare and verify sales orders for production
  • Track warranty claims and HVAC manufacturer’s transactions
  • Weekly attendance of Sales meeting
  • Maintains job files for the sales team
  • Planning and coordinating customer appreciation events and factory visits
  • Coordinate customer care packages, keeping novelty through a unique/customized approach
  • Maintaining a calendar on key trade association events and trip planning – particularly Data Center and Industrial events
  • Creating collateral materials/pitch decks relevant to specific customer engagements
  • Providing internal customer service support, both locally and across multiple offices
  • Job reconciliations
  • Accounting and invoicing
  • Service and Warranty (coordinating tech trips for startups, and commissioning support for pump houses, skids etc.)
  • Cross-territory coordination
  • Ability to multi-task, prioritize and strong organizational skills are essential
  • Experienced in customer service, enjoy working both independently and in a fast-paced sales team environment
  • Performs other duties as assigned
  • Flexibility to work weekends as required
