About The Position

The Sales Support Specialist is responsible for providing administrative and analytical support for the sales center including both project sales and outside sales (BDR’s). This position will focus on managing customer orders, commercial projects, tracking workflows, and ensuring seamless coordination across all stakeholders. This role is critical to maintaining accurate data entry in Prelude (ERP system), coordinating reports, tracking quote expirations, customer follow up, and collaborating with sales teams, estimators, credit departments, customers, vendors, and SCM’s to drive operational efficiency and success. The position will focus on driving sales as well as on providing a superior customer buying experience.

Requirements

  • Experience with ERP systems (Prelude preferred) and familiarity with SharePoint for tracking data.
  • Proficiency in Microsoft Excel for managing and analyzing reports.
  • Thrives in a fast-paced environment focused on serving business owners with urgent needs.
  • Previous experience in project administration, sales support, or related roles in the pool, landscape, or irrigation industry (preferred).
  • Ability to think critically, interface professionally with various stakeholders, and resolve problems efficiently.
  • High school diploma or GED is required.

Responsibilities

  • Filters and analyzes reports to identify and log awarded projects.
  • Verifies and accurately builds commercial projects in Prelude, ensuring proper ship-to accounts, project names, and reporting fields.
  • Prevents duplicate entries by validating project data accuracy.
  • Tracks and monitors quote expirations using Price Matrix reports.
  • Sends updates to Business Development Representatives/Project Sales Leads and escalates outstanding quotes when needed.
  • Ties approved quotes to awarded projects in Prelude and sets proactive reminders for pricing expirations.
  • Directs customers to submit landscape and irrigation plans and logs plans in SharePoint for tracking.
  • Coordinates with sales teams, estimators, and vendors for specific quote requests.
  • Updates and distributes monthly Quoted vs Awarded reports.
  • Generates detailed reports (e.g., Written-by, Quoted-by, Business Development Representative Quotes by Month).
  • Analyzes awarded projects to identify trends, opportunities, or errors for continuous improvement.
  • Provides field feedback to improve quoting workflows and project processes.
  • Communicates effectively with internal teams, vendors, and contractors to resolve discrepancies and streamline operations.
  • Other duties as assigned.
