About The Position

This role provides essential administrative and coordination support for Sales and Marketing personnel. The coordinator will manage customer inquiries, maintain the CRM system, prepare presentations and reports, and handle various administrative tasks to ensure smooth operations. This position also plays a key role in coordinating events, managing contracts, and supporting sales activities, including the creation of price books. The role requires strong organizational, communication, and technical skills, with the ability to manage multiple priorities and interact effectively with internal and external stakeholders.

Requirements

  • Associate's degree (AA) or equivalent from a two-year college or technical school.
  • Five (5) or more years of experience in a marketing/sales coordinator or equivalent position.
  • Well-developed communication, organizational, and interpersonal skills.
  • Strong editing skills.
  • Proficiency in Microsoft Excel®, Power Point®, and Word® software.
  • Ability to coordinate resources and multiple priorities.
  • Ability to interact with individuals at all levels within the organization as well as customers.
  • Ability to read, write, and follow written or verbal instructions.
  • Writes reports and any other business correspondence.
  • Self-motivated and able to work with minimal supervision.
  • Ability to use a calculator and perform basic mathematics.
  • Types 50 WPM.
  • Exceptional organizational and customer service skills.
  • Ability to maintain confidential information.

Nice To Haves

  • Prior experience with Microsoft Dynamics or Salesforce CRM.

Responsibilities

  • Monitor the Internet Customer Contact System and direct inquiries.
  • Enter all internet company contacts/leads into the CRM system.
  • Provide administrative support for Sales and Market Management (expense reports, conference calls).
  • Assist in preparing customer/corporate presentations, reports, memos, forms, and letters.
  • Prepare and maintain representative, distributor, and customer contracts and agreements, tracking key milestone dates.
  • Work with Marketing Communications to maintain promotional literature inventory.
  • Send out customer literature and samples as required.
  • Coordinate business cards, letterhead, envelopes, tradeshow promotional items, shirts, holiday cards, and annual calendars.
  • Support Equipment Sales Team quotes and quote templates.
  • Create and manage annual price books with Equipment Sales Managers and Equipment Business Segment Manager.
  • Provide front desk/phone back-up coverage as needed.
  • Coordinate corporate events (customer events, sales meetings, trade shows, employee meetings).
  • Coordinate travel for SCS personnel (work visas, airlines, hotels).
  • Serve as editor and coordinator of the SCS Global Coverage newsletter.
  • Provide back-up to the Executive Administrative Assistant.
  • Coordinate with external travel support vendor as a key contact.
  • Serve as a member of various employee relations planning committee(s).
  • Adhere to plant and corporate safety policies.
  • May be a member of the SCS Emergency Response Team.
  • Facilitate trade shows, webinars, seminars, and website follow-up emails.
  • Assist in other areas or perform other duties as required by fluctuating business needs.
