About The Position

The Sales Coordinator assists the Sales Department in maintaining group business. This role involves managing group room blocks, entering reservations and lists, ensuring accurate billing, and handling client correspondence. The coordinator is responsible for utilizing SFA for tracking and follow-up, maintaining data quality, and creating sales tools like proposals and Banquet Event Orders. They also assist with menu creation, client meetings, site preparation, and on-site event coordination, liaising with other departments to ensure client needs are met. Active participation in BEO meetings and providing event recaps are also key duties. The role requires representing the company professionally and providing exceptional service, with additional tasks assigned as needed.

Requirements

  • College diploma, preferably Hospitality program
  • 2 years’ experience, preferably at properties of similar size and quality (most notably four or five star/diamond property)
  • Delphi experience preferred
  • A true desire to satisfy the needs of others in a fast-paced environment
  • Refined listening, verbal and written communication skills
  • Proficient in general computer knowledge and MS Office
  • Able to take initiative with exceptional energy, flexibility, and professionalism
  • Extremely detail oriented and organized
  • Ability to build and maintain positive relationships
  • Ability to work collaboratively with all individuals on the team
  • Must be well-groomed, meet the professional dress code requirements, and be able to deal with associates and guests courteously and efficiently
  • Must be able to obtain a valid Oklahoma State ABLE License
  • Able to work extended workweeks, including weekends or holidays, to accommodate a client's needs as well as any functions

Responsibilities

  • Build group room blocks in Opera and MARSHA
  • Enter group room lists and individual reservations as needed
  • Ensure billing information on all reservations, groups, and Master Accounts is set up correctly
  • Send sales correspondence, including rooming lists and Banquet Event Orders, to customers
  • Respond to customer requests as directed
  • Utilize SFA correctly for accurate tracking, booking, and follow-up on all accounts
  • Maintain Data Quality Index standards in SFA
  • Enter client/account information into SFA
  • Create and distribute proposals, resumes, agreements, and Banquet Event Orders
  • Develop catering and banquet sales tools
  • Create menus directed by Catering Staff
  • Meet with clients for additional walkthroughs to finalize event details
  • Assist with all site preparation and support
  • On-site event coordination to ensure execution is on schedule, maintaining contact with the client and coordinating with vendors
  • Liaise with other departments to help ensure clients’ needs are met or exceeded
  • Actively participate in weekly BEO meetings with the Banquet Team
  • Inform culinary and operating departments of any changes, additions, or deletions to assigned groups' functions plans
  • Provide event recaps and operation, sales, and production suggestions to the VAST management team
  • Discuss client/group plans for future events, encouraging re-booking
  • Perform any other duties set by the Director of Sales & Catering and/or Director of Operations
  • Provide an exceptional level of service
  • Represent VAST in a courteous, efficient, and friendly manner in all client and company interactions
